The Opportunity

We are seeking a highly motivated, proactive, and exceptionally organized Executive Personal Assistant to serve as a strategic partner to our senior leadership team. This is not a traditional administrative role; you will be the right hand to our executives, enabling them to operate at maximum efficiency and effectiveness — both professionally and personally.

This full-time, hybrid role requires a professional who can seamlessly navigate a fast-paced, global startup environment. You will be a central hub of communication, a master of complex scheduling, a trusted manager of sensitive personal matters, and a key contributor to our daily operational success. The position can be based in the USA, UAE, or KSA, with flexibility for some remote work.

What You Will Do

Executive Partnership

• Provide comprehensive, high-level support to C-suite executives, including managing complex calendars, coordinating international travel, and preparing detailed itineraries.
• Anticipate needs and proactively address both professional and personal priorities to allow executives to focus on strategic objectives.

Strategic Communication

• Act as a professional gatekeeper, managing correspondence and liaising with internal teams and high-profile external stakeholders with discretion and diplomacy.
• Prepare polished, high-impact communications, reports, and presentations.

Operational & Administrative Excellence

• Manage and process expense reports, prepare and proofread advanced business documents, and coordinate executive meetings with flawless execution.
• Maintain confidential files, records, and documentation for both corporate and personal matters.

Personal Assistance & Lifestyle Management

• Organize and manage personal appointments, reservations, and errands for executives.
• Coordinate household staff, personal service providers, and vendors when required.
• Oversee personal travel arrangements, including family trips, events, and accommodations.
• Handle special personal projects, ensuring they are completed accurately and on time.

What You Bring to the Table

• Proven Experience: 5+ years of experience as an Executive/Personal Assistant, supporting senior-level executives, preferably in a fast-paced tech or startup environment.
• Exceptional Communication: Flawless written and verbal communication skills in English are mandatory. You can articulate ideas clearly and professionally to any audience.
• Master of Organization: Impeccable organizational and time-management skills, with a proven ability to prioritize conflicting demands and manage multiple projects simultaneously.
• Technical Proficiency: Advanced proficiency in the MS Office Suite (PowerPoint, Excel, Word, Outlook) and familiarity with modern collaboration tools (e.g., Slack, Teams).
• Document & Presentation Mastery: Demonstrated ability to create visually compelling, professional-grade presentations and sophisticated business documents from concept to completion.
• Professional Attributes: A high degree of autonomy, integrity, and discretion. You are a resourceful problem-solver who works effectively both independently and as part of a collaborative, global team.
