Reports To: Vice President – Academics
Employment Type: Full-time

Position Overview:

The Executive Assistant to the Vice President (Academics) will provide high-level administrative and operational support to ensure the smooth functioning of the academic leadership office. The role requires exceptional organizational skills, attention to detail, discretion, and the ability to manage multiple priorities efficiently in a fast-paced academic environment.

Key Responsibilities:

Administrative Support:

  • Manage the Vice President’s calendar, schedule appointments, and coordinate internal and external meetings.
  • Handle travel arrangements, itineraries, and logistics for official visits and academic events.
  • Prepare, review, and manage correspondence, reports, presentations, and other documents.
  • Maintain accurate and organized files, records, and confidential documents.

Coordination & Communication:

  • Serve as a key point of contact between the Vice President’s office and academic departments, faculty, and external stakeholders.
  • Draft and communicate emails, circulars, and memos as directed.
  • Coordinate meetings, prepare agendas, and record minutes of meetings; ensure timely follow-up on action items.
  • Assist in managing communication flow between academic leadership and other departments.

Academic Support:

  • Support academic planning, documentation, and reporting processes.
  • Coordinate with department heads and program coordinators on academic initiatives, reviews, and data collection.
  • Assist in preparation of presentations, reports, and documentation for board meetings, audits, and accreditation processes.

Project Management:

  • Track progress of academic projects, initiatives, and timelines as directed by the Vice President.
  • Follow up on pending tasks and ensure deadlines are met.
  • Support event management for academic seminars, workshops, and conferences.

Confidentiality & Professionalism:

  • Maintain strict confidentiality on all matters handled.
  • Exercise sound judgment, tact, and professionalism in interactions with internal and external stakeholders.

Qualifications and Skills:

Education:

  • Bachelor’s degree required (Master’s degree preferred).
  • Background in Administration, Education, or related field is an advantage.

Experience:

  • Minimum 3–5 years of experience as an Executive Assistant or similar role, preferably in an educational institution or corporate academic setting.

Skills:

  • Excellent verbal and written communication skills.
  • Strong organizational, coordination, and multitasking abilities.
  • Proficient in MS Office (Word, Excel, PowerPoint, Outlook) and other office productivity tools.
  • Ability to work independently with minimal supervision.
  • Discretion and ability to handle sensitive information.
  • Strong interpersonal and relationship management skills.

Job Types: Full-time, Permanent

Pay: ₹25,000.00 - ₹40,000.00 per month
