About Us:

 

Responsibilities:

Calendar Management:

  1. Strategically plan and organize the MD's daily, weekly, and monthly schedule to optimize time efficiency.
  2. Anticipate and address potential scheduling conflicts, ensuring the MD's commitments align with organizational priorities.
  3. Provide timely reminders and briefings on upcoming appointments and obligations.

Communication:

  1. Act as a key liaison between the MD and internal/external stakeholders, conveying messages accurately and professionally.
  2. Draft, edit, and proofread correspondence, reports, and presentations with a high level of attention to detail and in alignment with the MD's communication style.
  3. Manage phone calls, emails, and other forms of communication, filtering and prioritizing messages effectively.

Meeting Coordination:

  1. Coordinate and organize high-profile meetings, conferences, and events, both virtual and in-person.
  2. Develop comprehensive meeting agendas, compile relevant materials, and distribute them to participants in advance.
  3. Attend meetings to capture detailed minutes, action items, and follow-up tasks, ensuring seamless communication across the organization.

Documentation and Filing:

  1. Establish and maintain a sophisticated filing system for electronic and hard copy documents, ensuring easy retrieval and confidentiality.
  2. Regularly review and update records to ensure accuracy and compliance with company policies.
  3. Prepare and assemble documentation for presentations, reports, and other MD-related materials.

Travel Arrangements:

  1. Facilitate and coordinate domestic and international travel arrangements, including flights, accommodations, ground transportation, and visa processing.
  2. Create comprehensive itineraries and travel packages, providing the MD with all necessary details for a smooth travel experience.

Project Support:

  1. Collaborate with cross-functional teams to support the MD in the planning and execution of special projects and initiatives.
  2. Conduct research, gather data, and prepare reports as needed to facilitate decision-making and strategic planning.
  3. Act as a project manager for specific assignments, ensuring timelines and deliverables are met.

Confidentiality:

  1. Exercise discretion and handle confidential information with the utmost sensitivity.
  2. Develop and maintain a deep understanding of the MD's preferences, priorities, and strategic objectives, ensuring confidentiality is maintained at all times.

Qualifications:

Education:

  1. Bachelor’s degree in business administration, Management, or a related field.

Experience:

  1. Proven experience as an Executive Assistant or in a similar role.
  2. Previous experience supporting Director/C-level executives, preferably a MD/CEO.

Skills:

  1. Exceptional organizational and multitasking capabilities.
  2. Strong communication and interpersonal skills.
  3. Proficiency in Microsoft Office Suite and other relevant software.
  4. Keen attention to detail and accuracy.
  5. Effective prioritization skills and ability to meet deadlines.
  6. Proactive problem-solving skills.
