Role Description

This is a full-time Executive Assistant role located in Sahibzada Ajit Singh Nagar. The Executive Assistant will provide administrative support, handle expense reports, assist executives with daily tasks, and maintain communication within the organization.

Position Overview

The Executive Assistant (EA) provides high-level administrative support to senior leadership, ensuring smooth daily operations and enabling effective decision-making. This role involves managing schedules, coordinating meetings, preparing reports, handling confidential information, and acting as a key point of contact between executives and internal/external stakeholders.

1. Administrative & Executive Support

• Manage and maintain executive calendars, including scheduling meetings, appointments, and travel.
• Screen and prioritize emails, phone calls, and requests.
• Prepare reports, presentations, and correspondence on behalf of executives.
• Draft, review, and manage documents and communications with high attention to detail.

2. Meeting & Communication Coordination

• Organize and coordinate meetings, conferences, and off-site events.
• Prepare agendas, minutes, and follow-up actions.
• Serve as the liaison between executives and internal teams, clients, and partners.

3. Travel & Logistics

• Arrange domestic and international travel, including flights, hotels, and itineraries.
• Process travel reimbursements and expense reports accurately and on time.

4. Project & Task Management

• Assist in tracking deadlines, deliverables, and ongoing projects.
• Conduct research and compile data to support decision-making.
• Coordinate cross-departmental initiatives as required.

5. Office & Operations Support

• Maintain confidential files, records, and databases.
• Support procurement, budgeting, and invoicing processes.
• Improve administrative processes for better efficiency.

Skills & Qualifications

Essential

• Bachelor’s degree or equivalent work experience.
• 3+ years of experience as an Executive Assistant or in a similar role.
• Excellent written and verbal communication skills.
• Strong organizational, time-management, and multitasking abilities.
• Proficiency in Microsoft Office / Google Workspace.
• Ability to handle confidential information with integrity and discretion.

Preferred

• Experience supporting C-suite executives.
• Knowledge of project management tools.
• Strong problem-solving and decision-making skills.
