Role Overview:


Key Responsibilities:

Executive Support:

  • Manage calendars, meetings, and travel logistics for the Directors
  • Draft and prepare documents, presentations, and reports as needed
  • Coordinate communication emails, calls, and follow-ups with clients and internal stakeholders
  • Accompany the Directors for exhibitions or key client meetings when required
  • Track tasks and ensure timely closure of important deliverables


Client & Operations Coordination:

  • Serve as a point of contact for client communications, maintaining a high level of warmth and professionalism
  • Maintain organized filing systems (digital and physical) for easy access and record-keeping
  • Support internal team coordination to align schedules and ensure operational efficiency
  • Represent the brand in interactions requiring discretion and attention to detail


Workflow Optimization:

  • Implement structured systems for schedule and communication management
  • Anticipate and resolve scheduling conflicts or operational roadblocks
  • Recommend tools or methods to streamline day-to-day responsibilities


What We’re Looking For

  • Experience:

    Minimum 5 years as an Executive Assistant, ideally supporting top leadership
  • Industry Exposure:

    Experience in luxury, boutique, or client-facing environments is preferred but not mandatory
  • Professionalism:

    Discreet, reliable, and capable of representing the brand at all levels
  • Skills:

    Strong organizational abilities, with the flexibility to manage multiple priorities
  • Communication:

    Clear and articulate written and verbal English communication
  • Tech Proficiency:

    Confident with MS Office Suite (Word, Excel, PowerPoint, Outlook)
  • Mobility:

    Willingness to travel occasionally for exhibitions or key events
