This role demands more than administrative capability; it requires discretion, ownership, and the ability to seamlessly coordinate internal operations and client engagements. You will be the go-to person for managing schedules, facilitating smooth communication, and representing the leadership team with professionalism. Key Responsibilities: Executive Support: Manage calendars, meetings, and travel logistics for the Directors Draft and prepare documents, presentations, and reports as needed Coordinate communication emails, calls, and follow-ups with clients and internal stakeholders Accompany the Directors for exhibitions or key client meetings when required Track tasks and ensure timely closure of important deliverables Client & Operations Coordination: Serve as a point of contact for client communications, maintaining a high level of warmth and professionalism Maintain organized filing systems (digital and physical) for easy access and record-keeping Support internal team coordination to align schedules and ensure operational efficiency Represent the brand in interactions requiring discretion and attention to detail Workflow Optimization: Implement structured systems for schedule and communication management Anticipate and resolve scheduling conflicts or operational roadblocks Recommend tools or methods to streamline day-to-day responsibilities What We’re Looking For Experience: Minimum 5 years as an Executive Assistant, ideally supporting top leadership Industry Exposure: Experience in luxury, boutique, or client-facing environments is preferred but not mandatory Professionalism: Discreet, reliable, and capable of representing the brand at all levels Skills: Strong organizational abilities, with the flexibility to manage multiple priorities Communication: Clear and articulate written and verbal English communication Tech Proficiency: Confident with MS Office Suite (Word, Excel, PowerPoint, Outlook) Mobility: Willingness to travel occasionally for exhibitions or key events Why Join Us?
