Job Description

Functional Areas:

Executive Support, Interdepartmental Coordination, Data & MIS Reporting, Confidential Communication

 

Qualifications:

  • Graduate in any discipline; MBA / PG in Office Administration preferred
  • Certification in Business Communication / Office Management courses preferred
  • Familiarity with ERP tools, Microsoft Office Suite, and email management


Experience:

  • 3–7 years in MD Office / Executive Assistant / Admin Coordination role in the Manufacturing Industry
  • Experience in handling confidential communication, calendar management, MIS reporting, etc.


Key Responsibilities:

  • Executive Support - Scheduling & Calendar Documentation:

    Manage the MD’s appointments, meetings, calls, and travel itineraries. Draft and proofread emails, letters, reports, and presentations.
  • Coordination - Inter-Department Followup:

    Act as liaison between the MD and various functional teams; track decision follow-ups.
  • Communication - Internal & External:

    Handle calls, emails, and confidential correspondences.
  • Meetings - Organising & Follow-ups:

    Prepare agendas, MOMs, and track action points from key business meetings.
  • MIS & Reporting - Data Compilation:

    Collect, analyse, and present reports from different departments.
  • Confidential Handling - Records & Archives:

    Maintain documentation of business-critical and confidential data.
  • Event & Visit Planning - Internal & External:

    Coordinate logistics for client visits, plant reviews, and corporate meetings.
  • Compliance & Governance - Statutory Calendar:

    Support the MD with timely updates on key governance and statutory


Skills & Competencies:

  • Communication:

    Strong verbal and written communication across all business levels.
  • Coordination:

    Ability to follow up and close tasks with multiple teams simultaneously.
  • Documentation:

    Skilled in professional business writing, minutes, and drafting correspondences.
  • Data Management:

    Proficient in Excel, dashboards, and internal reporting.
  • Time Management:

    Ability to manage multiple priorities and deliver on tight schedules.
  • ERP & Systems:

    Good working knowledge of ERP and MS Office.
