Job Summary

Vendor Management Specialist


Key Responsibilities

Vendor Relationship Management

  • Onboarding:

    Facilitate the onboarding of new appraisers, ensuring completion of all contracts, credentials, and documentation.
  • Communication:

    Serve as the primary point of contact for vendors, providing updates, resolving issues, and answering queries in a timely and professional manner.
  • Retention:

    Build and sustain strong, reliable, and long-term vendor relationships.
  • Vendor Education:

    Keep vendors informed of appraisal regulations, compliance requirements, and process updates through regular communication and guidance.


Appraisal Operations & Coordination

  • Assignment Allocation:

    Assign appraisal projects to appropriate vendors based on geographic location, turnaround times, and client preferences.
  • Timeline Monitoring:

    Track assignment progress and ensure deadlines are met without compromising quality.
  • Quality Control:

    Perform preliminary reviews of completed reports to ensure accuracy, compliance, and formatting standards are upheld.
  • Issue Resolution:

    Proactively manage delays or discrepancies by coordinating with vendors and internal teams.


Compliance & Documentation

  • Regulatory Adherence:

    Ensure all vendor activity is compliant with USPAP standards and state/federal guidelines.
  • Record Keeping:

    Maintain complete and organized records of vendor agreements, correspondence, and completed appraisal reports.
  • Regulatory Updates:

    Stay informed on changes in appraisal and vendor compliance regulations, and update vendors accordingly.


Reporting & Vendor Analytics

  • Performance Tracking:

    Monitor vendor KPIs and create reports for internal stakeholders and client updates.
  • Feedback Loop:

    Collect and evaluate vendor and client feedback to identify performance trends and improvement areas.
  • Market Intelligence:

    Analyze industry data and trends to improve vendor selection, performance, and pricing strategies.


Internal Team Collaboration

  • Cross-Department Coordination:

    Collaborate with compliance, finance, and tech teams to ensure smooth end-to-end vendor operations.
  • Knowledge Sharing:

    Mentor junior team members on systems, processes, and vendor communication best practices.
  • Continuous Improvement:

    Propose enhancements to the vendor management process to boost efficiency, quality, and scalability.


Qualifications

  • Bachelor’s degree in Business Administration, Vendor Management, or a related field
  • 0–3 years of relevant experience (appraisal, real estate, or vendor management industry preferred)
  • Strong command of English (verbal and written)
  • Excellent interpersonal, relationship-building, and conflict-resolution skills
  • Strong organizational skills and ability to manage multiple priorities under pressure
  • Familiarity with U.S. compliance standards, especially in the real estate or appraisal sector
  • High attention to detail and a problem-solving approach
  • Proficient in spreadsheets, reporting tools, and CRM platforms
