Job Description

Role Overview We are seeking a detail-oriented Tender Executive to join our team. The ideal candidate will have hands-on experience with the Government e-Marketplace (GeM) portal and various state/central e-procurement platforms. This role involves end-to-end tender management—from identification and analysis to bid preparation, submission, and post-submission follow-up—while ensuring compliance with all relevant guidelines and timelines. Key Responsibilities Tender Monitoring & Analysis Proactively scan GeM and other e-procurement portals (state & central) for relevant tenders. Evaluate tender documents and specifications to determine feasibility and alignment with company capabilities. Bid Preparation & Submission Coordinate with technical, commercial, and finance teams to collate all required documentation. Accurately fill online forms on GeM and other portals, upload annexures, and ensure compliance with all tender conditions. Prepare and proofread tender responses, price bids, eligibility criteria, and supporting certificates. Compliance & Record-Keeping Maintain a centralized repository of all tender documents, submission confirmations, and correspondence. Track tender timelines, submission deadlines, and amendment notifications; issue alerts to stakeholders. Stakeholder Communication Liaise with clients, consultants, and internal teams to clarify technical or commercial queries. Draft and send formal communications—clarifications, corrigenda, extension requests—through email or portal messaging. Post-Tender Activities Monitor bid opening events, evaluate tender outcomes, and assist in bid negotiation meetings. Support contract award process, including issuance of intent letters and preparation of work orders. Qualifications & Experience Bachelor’s degree in Business Administration, Commerce, Engineering, or related field. Minimum 2–3 years of direct experience managing government/e-tenders, with proven proficiency on: GeM (Government e-Marketplace) portal Central and state e-procurement platforms (e.g., CPPP, UPNIC, MP e-Proc, etc.) Experience preparing technical and financial proposals for infrastructure or healthcare projects is a plus. Skills & Competencies Technical Skills: Advanced working knowledge of GeM and other e-procurement portals. Proficiency in MS Office suite (Word, Excel, PowerPoint) and document management systems. Strong attention to detail and ability to manage multiple submissions simultaneously. Communication: Excellent written and verbal English skills; able to draft clear, concise, and professional correspondence. Confident in stakeholder engagement—internal teams, vendors, and government officials. Organizational Abilities: Strong time-management and prioritization skills; meets strict deadlines under pressure. Ability to work independently and collaboratively in a fast-paced environment.
