Job Title: Tender Executive / Tender & Sales Executive
Department: Sales / Business Development / Commercial
Location: Virar
Job Purpose:
The Tender Executive is responsible for end-to-end tender management, including identifying tender opportunities, preparing techno-commercial bids, coordinating with internal departments, ensuring compliance with tender requirements, and timely submission of bids to maximize business opportunities.
Key Responsibilities:
1. Tender Identification & Analysis
· Regularly monitor tender portals such as GeM, CPPP, e-procurement portals, state government websites, and private portals.
· Identify relevant tenders based on company products/services.
· Download and study tender documents, BOQs, drawings, and amendments.
· Prepare tender summary and feasibility reports for management approval.
2. Pre-Bid Activities
· Prepare and submit pre-bid queries within timelines.
· Attend pre-bid meetings (online/offline) and record clarifications.
· Coordinate with technical and sales teams for accurate inputs.
· Track corrigendum/addendum and ensure compliance.
3. Tender Documentation & Bid Preparation
· Prepare complete techno-commercial bids as per tender requirements.
· Coordinate with departments such as Engineering, Finance, Accounts, Purchase, QA/QC, Legal, and Operations.
· Ensure inclusion of required documents:
1. Company profile
2. Experience certificates
3. Financial statements
4. Statutory documents (GST, PAN, MSME, ISO, BIS, etc.)
5. Compliance statements and checklists
6. Prepare BOQ, price bid, cost sheets, and internal approvals.
4. Online & Offline Tender Submission
· Upload bids on e-tendering portals ensuring accuracy and timelines.
· Handle DSC, encryption/decryption, bid submission, and resubmission if required.
· Prepare physical bid documents when required and arrange dispatch.
· Ensure zero deviation from tender conditions.
5. Post-Bid & Follow-Up Activities
· Track tender status (technical qualification, price opening, L1/L2).
· Respond to clarifications, presentations, or negotiations.
· Support contract finalization and LOA/WO issuance.
· Coordinate with execution team for handover after order receipt.
6. MIS, Documentation & Record Keeping
· Maintain tender tracker/MIS (submitted, live, awarded, lost).
· Maintain proper documentation and digital records for audits.
· Analyze win–loss data and prepare reports for management.
7. Compliance & Risk Management
· Ensure compliance with commercial terms, EMD, BG, payment terms, LD clauses, etc.
· Identify commercial and contractual risks and highlight to management.
· Ensure adherence to company policies and tender guidelines.
Skills & Competencies
1. Technical Skills
· Strong knowledge of tendering process (Government & Private)
· Familiarity with GeM, CPPP, e-procurement portals
· Understanding of BOQ, costing, pricing strategy
· Knowledge of contractual terms and tender conditions
2. Behavioral Skills

Qualification
· Bachelor’s degree in Commerce, Engineering, Management, or equivalent
· Additional certification in Contracts / Tendering is an advantage

· Experience in EPC / Manufacturing / Government projects preferred
