Job Description

Job Summary: We are seeking a highly organized, meticulous, and proactive Tender Executive to join our growing team in India. The Tender Executive will be responsible for managing the end-to-end tender process, from identifying suitable opportunities to preparing and submitting comprehensive and compliant bids. This role requires strong analytical skills, excellent communication, and the ability to work effectively under pressure and meet tight deadlines.

Key Responsibilities:

Tender Identification and Analysis:

  • Monitor various online and offline tender portals (e.g., GeM, CPPP, E-tender portals, private client portals) for relevant opportunities.
  • Analyze Request for Proposals (RFPs), Request for Quotations (RFQs), Expression of Interests (EOIs), and other tender documents to understand requirements, scope, terms, and conditions.
  • Conduct preliminary feasibility assessments and evaluate business fit for identified tenders.
  • Prepare and present pre-bid queries/representations in coordination with relevant teams.

Bid Preparation and Submission:

  • Coordinate with cross-functional teams (Sales, Technical, Finance, Legal, Operations, Quality, etc.) to gather all necessary inputs, documents, and approvals for tender submissions.
  • Prepare comprehensive technical and commercial proposals, ensuring strict compliance with all tender requirements, specifications, and timelines.
  • Ensure all supporting documents (company registrations, certifications, financial statements, etc.) are up-to-date and included.
  • Ensure timely online and/or physical submission of tenders, adhering to all stipulated procedures and guidelines.
  • Maintain accurate and organized records of all tender submissions, related documentation, and communications.

Post-Submission & Follow-up:

  • Handle post-submission documentation, including clarifications, addendums, and revisions.
  • Follow up with clients/tender authorities on the status of submitted tenders (technical and commercial bid openings).
  • Assist in negotiation and finalization of contract terms for awarded tenders.
  • Provide regular reports to management on tender progress, status, and outcomes.

Compliance and Documentation:

  • Ensure all tender activities comply with relevant industry regulations, government procurement norms, and company policies.
  • Maintain an updated database of all tender-related documents, certificates, and company credentials.
  • Identify and suggest process improvements to enhance bid success rates and operational efficiency.

Qualifications:

  • Bachelor's degree in Business Administration, Management, Engineering, Commerce, or a related field.
  • Minimum of [2-5 years, specify as per requirement] of proven experience in tender management, bid writing, procurement, or a similar role.
  • Strong understanding of the Indian tendering process, including government portals (GeM, CPPP, E-procurement systems) and private sector tender procedures.
  • Familiarity with contract law and legal aspects of tendering.

Skills & Competencies:

  • Excellent Written and Verbal Communication: Ability to articulate complex information clearly, concisely, and persuasively in both English and [Local language if required].
  • Analytical Skills: Strong ability to analyze complex tender documents, interpret requirements, and assess risks and opportunities.
  • Organizational and Time Management Skills: Proven ability to manage multiple projects simultaneously, prioritize tasks effectively, and meet tight deadlines.
  • Attention to Detail: Meticulous and accurate in document preparation and review.
  • Collaboration & Coordination: Ability to work effectively with cross-functional teams and external stakeholders.
  • Proficiency in MS Office Suite: Advanced knowledge of Word, Excel, and PowerPoint is essential. Familiarity with Adobe Acrobat and tender management software is a plus.
  • Negotiation Skills: Ability to negotiate effectively with stakeholders and suppliers.
  • Proactive and Self-motivated: Ability to take initiative and work independently.

Desirable Attributes:

  • Experience in Solar Industry tenders.
  • Certifications in Procurement or Project Management.

Job Types: Full-time, Permanent

Pay: ₹20,000.00 - ₹30,000.00 per month
