SUMMARY
Summary

We are seeking a highly skilled and experienced Administrative Support professional to join our team as a Reporting Manager, supporting the Chairperson and Vice Chairperson. The ideal candidate will have a strong background in administrative support, excellent communication skills, and the ability to maintain confidentiality. This role requires a high level of discretion, integrity, and professionalism, with a focus on providing exceptional support to senior leadership.

Responsibilities

  • Manage the CP's and VCP's calendar, scheduling appointments and ensuring timely reminders
  • Handle all incoming and outgoing correspondence on behalf of the CP and VCP
  • Plan car and chauffeur services for the CP and VCP
  • Organize travel arrangements, including flight bookings and accommodations
  • Ensure timely payment of utility bills and track credit card statements
  • Draft, review, and respond to emails and letters as directed
  • Arrange and coordinate internal and external meetings, conferences, and video calls
  • Prepare and circulate meeting agendas, minutes, and relevant documents
  • Act as the point of contact between the CP and VCP and internal/external stakeholders
  • Prepare daily, weekly, and monthly dashboards, reports, and presentations
  • Track and follow up on key action items discussed during meetings
  • Maintain and organize confidential files, records, and documents
  • Monitor task progress and update the CP and VCP accordingly
  • Assist in approvals and internal communications as directed by the CP and VCP
  • Handle special projects and other duties as assigned by the CP and VCP

Requirements
Requirements:

  • Bachelor's degree
  • Minimum 10 years of experience in a similar role supporting senior leadership
  • Excellent written and verbal communication skills
  • High level of discretion and integrity when dealing with confidential information
  • Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook); familiarity with project tracking tools is a plus
  • Strong organizational, multitasking, and time-management abilities
  • Professional interaction with a proactive and problem-solving mindset
  • Ability to work independently and prioritize workload
  • Strong interpersonal skills and the ability to liaise effectively with all levels of staff and external parties
