Job Description

Purpose/Objective


    Duty Manager - Fuel Farm is responsible for managing shift and in-to- plane operations, ensuring the receipt, storage, and distribution of aviation fuel with strict adherence to safety and regulatory standards. This role ensures operational excellence, real-time coordination with stakeholders, and optimal utilization of equipment and personnel to support seamless airport operations.

Key Responsibilities of Role


    Shift Operations Management: Oversee and manage all aspects of daily fuel farm operations, including the receipt, storage, quality control, and distribution of Jet-A1 fuel, ensuring compliance with industry standards. Ensure all periodic quality control checks are performed on both static and mobile equipment, with documentation maintained accurately. Allocate jobs and tasks efficiently to Operations Officers, ensuring timely allocation of flights and delay-free, on-time operations. Disseminate important information, including circulars and amendments, to downline operational teams. Ensure availability and replenishment of documents and records at the shift office to maintain compliance. Fuel Inventory Management and Stock Monitoring: Monitor daily stock accounting and availability of Jet-A1 fuel at the fuel farm to prevent shortages. Coordinate with Lead - Fuel Farm and OMCs (Oil Marketing Companies) for timely replenishment. Maintain up-to-date documentation for stock levels and fuel movements. Stakeholder Coordination: Liaise with Lead - fuel farm, into-plane service agencies, airlines, and airport authorities to support seamless operations. Coordinate with internal and external agencies for audits and inspections, ensuring alignment with standards. Maintain open communication channels to resolve operational issues promptly and uphold service quality. Safety and Compliance: Ensure adherence to safety protocols under HSSE (Health, Safety, Security, and Environment) guidelines and JIG standards. Respond to emergencies, conduct incident investigations, and implement preventive and corrective measures as needed. Monitor license renewals, pollution control measures, and ensure compliance with DGCA, PESO and other statutory requirements. Support and coordinate for audits and inspections, and implement corrective actions for any non-compliance. Equipment and Asset Integrity Management: Oversee the implementation of the Asset Integrity Management System (AIMS) to maintain the operational efficiency of static and mobile assets. Monitor the maintenance schedules of equipment to prevent disruptions. Drive continuous improvement in maintenance practices to enhance equipment performance. Reporting and Documentation: Maintain shift reports detailing fuel operations, safety incidents, quality checks, and equipment status. Ensure accurate data entry and reporting for operational audits, regulatory compliance, and management reviews. Provide inputs for daily and monthly operational summaries to the Lead - Fuel Farm. Staff Supervision and Training: Supervise and mentor shift personnel, ensuring adequate staffing for uninterrupted operations. Identify training needs and ensure staff are adequately trained on operational procedures, safety standards, and regulatory requirements. Key Stakeholders - Internal: Direct Supervisors & other Department Leaders Operating team at Jet Fuel facilities Airport Operations Team Airport Operations Control Center (AOCC) Terminal Operations Emergency Medical Services Engineering & MaintenanceTeam Health, Safety & Environment (HSE) Team Key Stakeholders - External: Airlines and Ground Handlers Oil Companies and Fuel Suppliers Air Traffic Control (ATC) Non-Scheduled Operators and General Aviation Regulatory Authorities (DGCA, IATA, ICAO) Customs and Security Agencies Vendors and Contractors Emergency Response Teams and Local Authorities

Qualifications and Experience


    Education Qualification: Diploma in Engineering/Bachelor’s degree or Post Graduate Diploma Holder in Mechanical/Electrical Engineering, Aviation Management, or a related field. Work Experience: 4-6 years of experience in aviation fuel operations , preferably in Jet Fuel Facility. Good to have a LMV driving license.
