As a Senior Payroll Specialist based in India, you will be responsible for the end-to-end payroll processing and compliance for our India, UK and United States entities.
This role is part of the global Finance team and reports directly to the Senior Director of Financial Reporting & Controllership. As Vena continues to grow, this position will provide strategic and operational support in managing international payroll complexities, while ensuring accurate, timely, and compliant payroll delivery. You will work cross-functionally with HR, Finance, external vendors, and internal stakeholders to maintain exceptional payroll accuracy and service delivery.
This position is based in India and requires in-office presence, aligning with our regional workplace policy.
- Lead and manage full-cycle payroll processing for employees in the United States and the United Kingdom, ensuring compliance with all statutory and internal requirements.
- Support the third party in processing payroll in India by reviewing the inputs and changes to payroll for each cycle and helping to coordinate with the business users as necessary.
- Administer regular and off-cycle payroll runs including bonuses, commissions, severance, and reimbursements.
- Maintain and verify employee payroll data including new hires, terminations, promotions, banking, pensions and other changes submitted by HR.
- Manage tax filings, year-end reconciliations, and distribution of W-2s (US) and P60s (UK) in partnership with payroll vendors.
- Collaborate with HR and Finance teams to implement system and process improvements that increase payroll efficiency and accuracy, utilizing AI and emerging technology where possible.
- Ensure payroll deductions, withholdings, and remittances are accurately calculated and paid on time.
- Partner with external vendors for payroll processing, compliance checks, and legislative updates.
- Support internal and external audit processes by preparing detailed payroll reports and reconciliation documents.
- Serve as the subject matter expert on payroll compliance in the US and UK jurisdictions.
- Respond to and resolve complex payroll queries from employees and stakeholders, serve as back for Canadian payroll and other projects as necessary.
- Extensive experience with international payroll, specifically in the UK and US jurisdictions.
- Strong knowledge of labor, tax, and statutory laws in the US and UK, including experience with HMRC and IRS regulations.
Payroll certifications such as CPP (Certified Payroll Professional), FPC, or CIPP (UK) or equivalent are an asset.
- Proficiency in managing payroll vendors and third-party systems.
- Detail-oriented with a strong ability to manage confidential data with integrity and discretion.
- Exceptional problem-solving and analytical skills with a proactive approach to process improvements.
- Experience working in a fast-paced, high-growth environment.
- Proven ability to manage multiple priorities and deadlines with minimal supervision.
- Excellent communication and collaboration skills.
- Comfortable working with global stakeholders across time zones.
- Interest in AI and willingness to explore AI-driven solutions to enhance performance and drive efficiencies.
