Position Profile

Weaver India, LLP is looking for a Senior Manager to oversee the Administration, Travel and Facility Operations in India. This role is responsible for overseeing all aspects of facility operations, maintenance, safety, and infrastructure management across the organization. The Senior Manager will ensure that all physical environments support business objectives, comply with regulatory requirements, and maintain high standards of efficiency, safety, and sustainability. The role also includes leading the facilities team, managing vendors, and driving strategic initiatives related to workspace planning, asset management, and operational excellence.

Responsibilities

  • Facilities Operations & Management
  • Oversee day-to-day operations of all office and facility locations.
  • Ensure all facilities are well-maintained, functional, and compliant with safety, legal, and regulatory standards.
  • Develop and implement preventive maintenance programs for HVAC, electrical, plumbing, and other systems.
  • Leadership & Team Management
  • Lead, mentor, and develop the facilities management team.
  • Allocate resources, manage workloads, and ensure the team meets performance and operational expectations.
  • Vendor & Contract Management
  • Manage external vendors for maintenance, security, housekeeping, landscaping, and other facility-related services.
  • Negotiate contracts, track performance, and ensure value delivery and service-level compliance.
  • Space Planning & Workplace Strategy
  • Oversee space planning, seating layouts, and office expansion or relocation projects.
  • Work closely with HR and business leaders to forecast space requirements.
  • Ensure workspace design supports employee productivity and organizational culture.
  • Budgeting & Cost Control
  • Prepare and manage the facilities budget, including capital expenditure and operating costs.
  • Identify cost-saving initiatives without compromising safety or quality.
  • Health, Safety & Compliance
  • Ensure compliance with fire safety, environmental regulations, and occupational health standards.
  • Oversee emergency response plans, safety audits, and risk assessments.
  • Sustainability & Energy Management
  • Drive sustainability initiatives such as energy efficiency, waste reduction, and green building practices.
  • Monitor utility consumption and identify opportunities for reduction.

Travel Management

  • Oversee and coordinate employee travel arrangements, including flight, hotel, and transportation bookings.
  • Liaise with travel agencies and negotiate travel-related contracts.
  • Develop and maintain company travel policies and ensure employee compliance.
  • Track travel expenses and prepare periodic travel reports for management.
  • Project Management
  • Lead facility-related projects including renovations, upgrades, and infrastructure improvements.
  • Coordinate with architects, contractors, and internal stakeholders for timely project execution.

Education And Skills

  • Bachelor’s degree in Facilities Management, Engineering, Business Administration, or a related field (Master’s preferred).
  • 10–15 years of experience in facilities management, with at least 5 years in a leadership/managerial role.
  • Strong knowledge of building systems, maintenance procedures, safety standards, and compliance regulations.
  • Proven experience in vendor management and contract negotiations.
  • Excellent budgeting, planning, and project management skills.
  • Strong leadership, communication, and stakeholder management capabilities.
