Job Description

Key Responsibilities:

  • HR MIS & Reporting
  • Create, maintain, and automate HR dashboards and reports covering onboarding, exits, compliance, and headcount.
  • Perform periodic data audits to ensure consistency across Zoho, HRMS, and shared drives.
  • Generate and analyze reports such as Leave Reconciliation, ILITIE, and Work Schedule Reconciliation.
  • Manage employee master data (FTEs, interns, contractors) and ensure version control across systems.
  • Support HR analytics for management reviews and monthly dashboards.
  • Onboarding and Joining Formalities (FTEs & Contractors)
  • Coordinate with candidates, vendors and stakeholders for pre-joining and onboarding activities.
  • Validate documents, joining forms, and maintain digital personal files in shared folders.
  • Send joining communications, orientation schedules, and coordinate new joiner celebrations.
  • Ensure timely creation of email IDs, food cards, PF/UAN generation, and system access.
  • Compliance & Employee Data Management
  • Share and track statutory details such as PF, UAN, and Aadhaar numbers for new joiners.
  • Handle PF-related queries for active and exited employees.
  • Miscellaneous HR Operations
  • Prepare covering letters for visa and other employee documentation requests using letter merge/ mail merge.
  • Support intern and contractor exits, and update system records accordingly.
  • Manage award certificate creation and employee recognition data.
  • Collaborate with HR, Admin, and IT teams for ongoing operational coordination.

Required Skills & Competencies:

  • Advanced Excel expertise – Pivot table, vlook up, advanced formulas (countif, sumif, and dashboards.
  • Strong analytical and data validation skills; accuracy and attention to detail are critical.
  • Familiarity with HR systems such as Workday, SAP, or any other HRMS tools.
  • Excellent communication and stakeholder management skills.
  • Proactive and process-driven mindset with the ability to manage multiple priorities.

Qualifications & Experience:

  • Postgraduate in HR, Business Administration, or related field.
  • Minimum 3–5 years of experience in HR MIS roles.
  • Exposure to shared service environments or large-scale onboarding preferred with a minimum headcount handled 1000 employees.
