Job Summary

HR & Operations Executive



Key Responsibilities

1. Human Resource Management

  • End-to-end recruitment for Head Office and project sites (staff, skilled, semi-skilled & unskilled workers).
  • Employee onboarding, documentation, and joining formalities.
  • Maintain attendance, leave, and shift records in coordination with project teams.
  • Payroll coordination with Finance — collection and verification of timesheets, OT, deductions, etc.
  • Maintain employee files, contracts, renewals, ID cards, and HR documentation.
  • Handle employee grievances, disciplinary actions, warning letters, and HR communication.
  • Ensure compliance with labour laws: PF, ESI, WC policy, CLRA, Minimum Wages, etc.
  • Support workforce planning and manpower deployment across sites.



2. Operations & Administration

  • Coordinate with project sites regarding manpower, material requirements, facilities, and compliance updates.
  • Prepare and update HR & Admin MIS reports for management review.
  • Assist in procurement follow-ups, vendor coordination, and office administration.
  • Manage travel, accommodation, and logistics for staff visiting project sites.
  • Support statutory inspections, audits, and documentation for road construction projects.
  • Ensure proper communication flow between Head Office and all project locations.
  • Handle vendor registration, petty cash, credit card payments, building maintenance, electricity, and related administrative payments.

Fleet Management

  • Monitor fleet management systems (TATA, Komatsu, etc.) and track the condition of all vehicles.
  • Record and follow up on breakdowns; ensure immediate actions for restoring vehicle serviceability.
  • Maintain all vehicle-related documents: insurance, RTO papers, EMI records, diesel consumption, and shift/KM-wise usage.
  • Ensure accurate logging of purchases, repairs, and maintenance in vehicle registers.
  • Verify manual fuel records with the App for accuracy.

Asset Management

  • Upload and update all assets in SharePoint.
  • Ensure individual assets are recorded in KEKA for proper accounting.



3. Compliance & Documentation

  • Maintain registers, checklists, muster rolls, and attendance reports from sites.
  • Assist in labour compliance submissions for multiple project locations.
  • Track compliance gaps and coordinate corrective actions.
  • Support implementation of policies, SOPs, and HR/admin processes specific to road construction operations.



4. Employee Engagement

  • Coordinate training programs, toolbox talks (with Safety Team), and employee welfare activities.
  • Promote discipline, punctuality, and organizational values at HO and project sites.
  • Support team-building and employee engagement initiatives.



Required Skills

  • Strong knowledge of PF, ESI, labour laws, and statutory compliance.
  • Excellent coordination, follow-up, and communication skills.
  • Good command of MS Office, HRMS software (preferably KEKA), and documentation.
  • Ability to multitask and work closely with project teams.
  • Strong organizational and administrative capabilities.
