About the Role

Aviation Sales Specialist


Key Responsibilities

Quote & Order Management

  • Prepare, review, and issue accurate quotations to customers based on product availability and pricing guidelines.
  • Create and manage sales orders in internal systems/ERP with correct parts/services details.
  • Ensure all documentation (pricing, lead times, terms) is accurate and consistent with customer requirements.
  • Coordinate with internal teams (inventory, procurement, logistics) to validate order feasibility and availability.

Order Follow-Up & Tracking

  • Monitor open orders through to delivery and completion.
  • Proactively follow up on orders with internal departments and customers until fulfillment.
  • Provide timely updates to sales, operations, and customers on any changes or delays.
  • Track and escalate issues to avoid bottlenecks or delivery breaches.

Customer Communication & Support

  • Respond promptly to customer queries via email/phone regarding quotes, orders, delivery status, and documentation.
  • Build and maintain strong professional relationships with clients, ensuring a high level of service and responsiveness.
  • Communicate customer needs internally and ensure follow-through on commitments.

Data & System Management

  • Maintain accurate records in CRM/ERP systems – customer data, quotes, orders, communications, and follow-ups.
  • Generate regular reports on quotes issued, orders processed, open orders, and key performance indicators.
  • Assist with improving internal processes and documentation standards.

Cross-Functional Coordination

  • Liaise with procurement, inventory control, finance, and logistics teams to support seamless execution of sales orders.
  • Ensure compliance with aviation industry quality and documentation standards.


Qualifications & Skills

Education & Experience

  • Bachelor’s degree in Business, Aviation Management, Supply Chain, or a related field preferred.
  • Previous experience in aviation sales support, aviation parts distribution, or related back-office operations is an advantage.

Technical Skills

  • Strong proficiency in Microsoft Office (Excel, Word, Outlook).
  • Experience with CRM/ERP systems and order management processes.
  • Ability to interpret part numbers, pricing structures, and lead times effectively.
