Job Summary:


Purchase Executive with Finance experience


Key Responsibilities:


Procurement & Vendor Management

  • Source, evaluate, and negotiate with suppliers for best pricing, quality, and timely delivery.
  • Develop and maintain strong relationships with vendors and service providers.
  • Prepare and issue

    Purchase Orders (POs) & Performa Invoice (PI)

    and ensure order tracking and follow-up.
  • Maintain supplier database, price lists, and comparative statements.
  • Ensure compliance with company purchase policies and procedures.

Inventory & Logistics

  • Coordinate with the production and operations team to ensure timely receipt of goods.
  • Verify GRNs (Goods Received Notes) and maintain stock level records.
  • Follow up on pending deliveries and replacements for defective goods.

Finance Coordination

  • Verify supplier invoices and coordinate with the accounts team for

    timely payment processing.

  • Maintain proper CRM excel sheet tracker and track the office expenses.
  • Assist in cost analysis, budgeting, and expense monitoring for purchase-related activities.
  • Support in preparing MIS reports, purchase summaries, and vendor payment reports.
  • Reconcile purchase accounts and vendor ledgers periodically.

Documentation & Compliance

  • Maintain all purchase-related

    documentation, File management

    and approvals.
  • Ensure GST-compliant invoices and coordinate for TDS or other statutory deductions.
  • Support internal and external audits related to purchases and vendor payments.


Key Skills & Competencies:

  • Strong negotiation and analytical skills.
  • Basic understanding of accounting and taxation (GST, TDS).
  • Proficiency in MS Excel, ERP systems, or accounting software (

    Tally

    preferred).
  • Excellent communication and vendor relationship management skills.
  • Time management and ability to handle multiple priorities.


Qualification & Experience:

  • Bachelor’s degree in commerce, Finance, or Business Administration.
  • 2–4 years of experience in

    purchasing/procurement

    , preferably in a

    corporate gifting, trading, or manufacturing

    environment.
  • Exposure to financial coordination or accounts payable is an added advantage.
