Position: Personal Assistant to CMD / Executive Assistant to Chairman & Managing Director

Role Purpose

The Personal Assistant will provide high-level, confidential administrative and strategic support to the CMD. This role acts as the primary point of contact and gatekeeper, responsible for optimizing the CMD’s time and effectiveness through proactive calendar management, seamless communication coordination, and efficient stakeholder engagement. The PA will ensure the CM&D's office operates with maximum efficiency, professionalism, and discretion.


Key Responsibilities:

  • Calendar & Schedule Management:

Manage and prioritize the CM&D’s calendar, including meetings, appointments, and travel arrangements. Coordinate with internal teams and external partners to ensure timely preparation and follow-up.

  • Communication & Correspondence:

Handle all incoming and outgoing communications (emails, calls, letters) on behalf of the CM&D. Draft, review, and proofread correspondence, reports, and presentations.

  • Meeting & Event Coordination:

Organize and prepare for meetings, conferences, and events. Prepare agendas, minutes, and action items. Liaise with attendees and ensure all logistical requirements are met.

  • Stakeholder Management:

Act as the primary point of contact between the CM&D and board members, senior executives, clients, and other stakeholders. Maintain professional relationships and ensure effective communication.

  • Documentation & Reporting:

Prepare and maintain confidential documents, reports, and presentations. Ensure accurate record-keeping and filing systems.

  • Travel & Logistics:

Arrange domestic and international travel, including flights, accommodations, visas, and itineraries. Manage expense reports and reimbursements.

  • Project Support:

Assist the CM&D in tracking and following up on key projects, deadlines, and deliverables. Provide research and analytical support as required.

  • Confidentiality & Discretion:

Handle sensitive information with the utmost confidentiality and professionalism.


The Ideal Candidate

  • Bachelor’s degree in Business Administration, Communications, or related field.
  • Experience: Minimum 4 to 5 years of experience as an Executive/Personal Assistant.
  • Language: Fluency in English, Hindi and Marathi.


Skills & Competencies

  • Excellent written and verbal communication, time management, and organizational skills.
  • Proficiency in MS Office Suite and calendar management tools.
  • Highly proactive, detail-oriented, and able to multitask in a fast-paced environment.
  • Strong problem-solving and decision-making abilities.
