Import Export Specialist

The Export–Import Specialist is responsible for managing and coordinating all international trade activities of the company, ensuring compliance with global trade regulations. This role involves preparing export and import documentation, managing customs processes, coordinating with freight forwarders, monitoring shipments, and ensuring timely delivery of goods while optimizing costs.

Key Responsibilities

1. Documentation & Compliance

• Prepare, review, and process all export and import documents (Invoice, Packing List, BL/AWB, COO, HS Codes, LC documents, etc.).
• Ensure adherence to customs regulations, international trade laws, INCOTERMS, and company policies.
• Ensure accurate classification of products under HS codes and maintain compliance with DGFT, FEMA, and related authorities (country-specific).
• Handle Letter of Credit (LC) documentation and coordinate with banks for negotiation.

2. Shipment Management

• Coordinate booking of cargo with shipping lines, airlines, and freight forwarders.
• Track and monitor shipment status to ensure on-time dispatch and arrival.
• Manage freight rates and negotiate best pricing with logistics partners.
• Resolve issues related to shipment delays, damages, or documentation errors.

3. Coordination & Communication

• Liaise with internal teams (production, procurement, sales, finance) for smooth order processing.
• Communicate with overseas customers, suppliers, and logistics partners regarding shipment schedules and documentation requirements.
• Maintain excellent relationships with customs brokers, freight forwarders, and government authorities.

4. Reporting & Record-Keeping

• Maintain updated records of all transactions, shipments, and compliance documents.
• Prepare weekly/monthly reports on shipment status, freight costs, and export–import performance.
• Support audit processes and provide necessary documentation.

5. Cost & Process Optimization

• Monitor freight market trends and recommend cost-saving opportunities.
• Identify process gaps and implement improvements for efficiency in international logistics.
