Job Description

Key Responsibilities

  • General Administrative Support
  • Answer employee questions and provide necessary assistance.
  • Process incoming mail and route it appropriately.
  • Create, organize, and distribute HR-related documents.
  • Deliver customer service to employees across the organization.
  • Serve as a point of contact with benefit vendors and administrators.
  • Maintain and update HR systems and databases by entering accurate data.
  • Set appointments, arrange meetings, and manage HR calendars.
  • Compile reports and spreadsheets, ensuring data accuracy and timely submission.
  • Recruitment & New Hire Process
  • Participate actively in recruitment efforts from sourcing to onboarding.
  • Post job advertisements and manage applications and resumes.
  • Schedule and assist with job interviews and assessments.
  • Collect employment, identification, and tax documentation.
  • Conduct and verify background and reference checks.
  • Prepare and maintain new employee files and documentation.
  • Oversee completion of compensation and benefits documentation.
  • Orient new employees by setting up log-ins, workstations, and company email accounts.
  • Conduct benefits enrollment sessions and resolve related queries.
  • Serve as the first point of contact for all onboarding-related employee questions.
  • Payroll & Benefits Administration
  • Process payroll accurately, ensuring vacation and sick leave tracking.
  • Address and resolve payroll-related queries and discrepancies.
  • Support in reconciling benefits statements and approving related invoices.
  • Participate in resolving benefit claims and maintaining communication with vendors.
  • Record Maintenance & Compliance
  • Maintain and update all HR files, employee databases, and personnel records.
  • Record and track employee benefits, status changes, and disciplinary actions.
  • Conduct file audits to ensure all employee documentation is complete.
  • Perform payroll and benefits reconciliations and audits, recommending corrective actions when needed.
  • Manage employee exit processes, including termination paperwork and exit interviews.
