Job Description – Assistant/ Deputy Manager

Department: Human Resources
Location: Apollo Hospital Kolkata
Reports To: Unit Head / Corporate HRBP
Industry: Integrated Facility Management / Biomedical Services

Job Summary:

The HR Manager will be responsible for managing end-to-end HR operations across multiple locations, including recruitment, payroll, statutory compliance, industrial relations, and employee welfare. The role requires strong leadership in handling unionized workforce and effective coordination with specialized departments such as Biomedical Engineering, Housekeeping ensuring smooth HR and administrative support for all technical and operational staff.

Key Responsibilities:

1. Recruitment & Onboarding

  • Manage recruitment for all categories: housekeeping, technicians, biomedical engineers, supervisors, and managers.
  • Coordinate interviews, offer releases, and appointment letters.
  • Conduct induction and orientation for new joiners at site and head office.
  • Maintain proper manpower planning for all departments including biomedical teams.

2. Payroll & Attendance

  • Compile attendance from all sites and process accurate monthly payroll.
  • Manage arrears, revisions, and statutory deductions (PF, ESI, Income Tax).
  • Coordinate with the accounts department for timely disbursement and payslip circulation.
  • Handle shift schedules, weekly offs, and attendance compliance for site and biomedical staff.

3. Statutory Compliance

  • Ensure full compliance with applicable labor laws – PF, ESI, PT, Gratuity, Bonus, Contract Labor Act, etc.
  • Maintain all statutory registers and records.
  • Liaise with labor officials during inspections or audits.
  • Guide site HR executives on compliance documentation and reports.

4. Industrial Relations / Union Handling

  • Act as a bridge between management and union representatives.
  • Handle negotiations, settlements, and grievance discussions professionally.
  • Manage disciplinary proceedings, domestic inquiries, and maintain harmonious employee relations.
  • Build rapport with union members, labor authorities, and ensure minimal disputes.
  • Draft and implement wage settlements, MoUs, and industrial agreements.

5. Biomedical Department Coordination

  • Support HR requirements specific to Biomedical Engineers and Technicians.
  • Coordinate with the Biomedical Department Head/Trainer for manpower allocation, training, and deployment across hospitals and client sites.
  • Ensure compliance with client hospital HR policies (background verification, training, shift pattern, documentation, etc.).
  • Track biomedical staff performance, certification renewals, and statutory records.

6. Employee Relations & Welfare

  • Handle employee grievances and ensure fair and transparent HR practices.
  • Implement welfare activities, recognition programs, and engagement initiatives.
  • Manage employee exits, full & final settlements, and maintain attrition data.
  • Ensure proper communication of company policies and procedures to all levels.

7. Training & Development

  • Identify training needs for site staff, engineers, and supervisors.
  • Coordinate soft-skill, technical, and statutory training programs.
  • Maintain training records and follow up on evaluation and feedback.

8. HR Administration

  • Maintain HRMIS and employee personal files.
  • Manage HR documentation, vendor coordination, and administrative activities.
  • Support site HRs for uniform distribution, ID cards, and compliance reports.

Qualifications & Experience:

  • Bachelor’s / Master’s Degree in HR Management, Industrial Relations, or Business Administration.
  • 7–12 years of experience in HR operations, preferably in Facility Management / Hospital / Biomedical / Service Industry.
  • Strong exposure to Industrial Relations, Union Handling, and Multi-site HR Operations.

Key Skills:

  • Excellent leadership and communication skills.
  • Strong negotiation and conflict-resolution ability.
  • Good knowledge of statutory laws and labor relations.
  • Proficiency in MS Office and HRMS tools.
  • Ability to manage diverse teams across multiple client locations.

Job Type: Full-time

Pay: ₹9,136.92 - ₹25,198.88 per month
