Position Title: HR & Administration Manager

Location: Bengaluru
Reporting To: Partner
Experience: Minimum 3-5 years in HR & Administration, preferably in professional services or consulting firms or CA firms
Educational Qualification: MBA in HR / PGDHRM / MSW (HR) or equivalent qualification
Employment Type: Full-Time

Role Summary:

We are looking for a dynamic and experienced HR & Administration Manager to lead and manage the entire human resource function of our Chartered Accountancy firm. The ideal candidate will be responsible for overseeing the complete employee lifecycle — from recruitment to retirement — along with payroll management, statutory compliance, performance appraisals, employee welfare, and general office administration.

Key Responsibilities:

1. Talent Acquisition & Onboarding

  • Plan and execute recruitment activities: job postings, resume screening, interviews, offer roll-outs
  • Onboard new employees with structured orientation and documentation
  • Maintain updated HR records and employee databases

2. Payroll & Compliance Management

  • Manage monthly payroll processing including salary structure, deductions, reimbursements, and full & final settlements
  • Ensure timely filing and compliance under PF, ESI, PT, Gratuity, Bonus Act, Shops & Establishment Act, etc.
  • Coordinate with consultants and authorities for labour law audits, inspections, and filings

3. Attendance & Leave Management

  • Monitor and track employee attendance, leaves, holidays, and work schedules using HRMS or manual systems
  • Ensure accuracy in monthly payroll inputs derived from attendance data

4. Performance Management & Appraisals

  • Facilitate timely performance evaluations and goal-setting processes
  • Assist partners in designing and executing annual/bi-annual appraisal cycles
  • Maintain performance records and assist in compensation planning

5. Training & Development

  • Identify training needs across teams and coordinate in-house or external training programs
  • Track skill development, feedback, and training effectiveness
  • Maintain training calendars and certifications

6. Employee Engagement & Welfare

  • Design and execute employee engagement programs, team-building activities, and internal communications
  • Address employee grievances with empathy and confidentiality
  • Ensure implementation of employee welfare policies such as health checks, work-life balance initiatives, rewards & recognition

7. Exit Management & Retirement Planning

  • Manage resignation processes including notice periods, handovers, clearances, and exit interviews
  • Coordinate retirement benefits, documentation, and continuity planning

8. General Administration

  • Supervise office operations including housekeeping, maintenance, vendor management, and stationery control
  • Ensure infrastructure, security, and work environment needs are met
  • Coordinate logistics for events, audits, internal reviews, and office meetings

Key Competencies:

  • Strong knowledge of labour laws, payroll processes, and HR documentation
  • Excellent communication and interpersonal skills
  • Discreet, ethical, and respectful of confidentiality
  • Proficiency in MS Office, payroll software, and HRIS systems
  • Ability to work independently with a problem-solving mindset

Growth & Exposure:

This role offers comprehensive exposure to HR strategy and people management in a professional CA firm environment. The candidate will act as a critical link between the leadership and team members, enabling a culture of compliance, performance, and employee satisfaction.

Job Type: Full-time

Pay: ₹20,000.00 - ₹30,000.00 per month
