Role Overview

We are looking for a highly skilled and proactive Export Executive with 3–5 years of hands-on experience in international exports, documentation, and logistics coordination. The ideal candidate must have strong operational knowledge of Alibaba.com, export documentation, shipment handling, and communication with international clients. The candidate should be able to think critically, handle challenges independently, and ensure smooth end-to-end export operations.

Key Responsibilities

1. Export Operations & Documentation

Prepare all export-related documentation including PI, Invoice, Packing List, COO, BL, AWB, Fumigation, MSDS, and other statutory documents.

Coordinate with CHA, freight forwarders, and shipping lines for booking and documentation.

Ensure accuracy and compliance with international trade regulations and customer requirements.

Maintain export records and track shipments until final delivery.

2. Alibaba.com Portal Management

Manage Alibaba.com storefront listing, product optimization, and inquiry handling.

Respond to international buyer inquiries, generate quotes, and follow up for conversions.

Handle RFQs, chat support, and maintain high response ratings.

Upload product images, descriptions, keywords, and ensure SEO-friendly listings.

3. Logistics & Coordination

Arrange transport, logistics, and dispatch planning for export shipments

Follow up on shipments to ensure timely pickup, loading, customs clearance, and dispatch.

Coordinate with warehouse, production, and quality teams for order readiness.

4. Client Communication & Support

Maintain communication with international clients, sharing documentation, updates, and shipment status.

Resolve customer queries professionally and provide pre- and post-shipment support.

5. Compliance & Reporting

Ensure compliance with DGFT, customs regulations, and international trade norms.

Prepare export MIS reports, shipment trackers, and monthly performance updates.

Required Skills & Competencies

Strong knowledge of export documentation, incoterms, shipping processes, and international regulations.

Hands-on experience with Alibaba.com (mandatory).

Ability to solve challenges independently and think strategically.

Excellent communication skills (written & verbal).

Good negotiation and coordination skills with vendors, CHAs, and buyers.

Proficiency in MS Office (Excel, Word, PowerPoint).

Strong analytical skills, problem-solving ability, and attention to detail.

Ability to multitask and work under pressure.
