Job Title: Export Documentation Specialist – Medical Devices Location: Bangalore, Karnataka Department: Logistics / Export Operations Employment Type: Full-time Reports To: Export Manager / Supply Chain Manager About the Role: We are seeking an experienced and detail-oriented Export Documentation Specialist to manage and coordinate all export documentation and compliance processes for our medical devices business. The ideal candidate will ensure that all shipments meet regulatory, trade, and quality standards, while maintaining accurate documentation in accordance with international trade laws and medical device export regulations. Key Responsibilities: Prepare, review, and manage all export documentation including invoices, packing lists, certificates of origin, shipping instructions, airway bills, and bills of lading. Ensure all documentation complies with international trade regulations, customs requirements, and medical device regulatory standards (FDA, EU MDR, ISO 13485, etc.). Coordinate with freight forwarders, customs brokers, logistics providers, and internal departments to ensure timely and accurate shipment of goods. Verify export licenses, product classifications (HS codes), and country-specific requirements for medical devices. Maintain detailed records of export shipments and documentation for audit and traceability purposes. Communicate with customers and distributors to resolve documentation or shipping-related queries. Monitor shipment progress and ensure all export processes align with company and quality management system (QMS) standards. Support internal and external audits by providing export-related records and reports. Stay updated on international trade regulations, medical device export documentation requirements, and customs laws in key markets. Qualifications & Skills: Bachelor’s degree in International Business, Logistics, Supply Chain Management, or related field. Minimum 3–5 years of experience in export documentation or international logistics — preferably in the medical device, pharmaceutical, or healthcare industry. Strong knowledge of export documentation, Incoterms, HS codes, and trade compliance. Familiarity with FDA, CE marking, ISO 13485, and other medical device regulatory requirements. Excellent organizational skills and high attention to detail. Strong communication skills and ability to work cross-functionally with regulatory, logistics, and customer service teams. Proficiency in MS Office, ERP systems (SAP / Oracle), and export documentation software. Ability to manage multiple shipments and deadlines simultaneously. Preferred Qualifications: Certification in Export/Import Management or International Trade Compliance. Experience working with global distributors and government export agencies. Familiarity with letter of credit documentation and banking procedures for exports.
