Executive Assistant (EA) to the Director

Role Overview
The EA must combine discipline, discretion, and emotional intelligence with strong analytical and communication skills.

Key Responsibilities
1. Founder’s Office Alignment & Executive Support
- Operate as a strategic extension of the Director, ensuring intent translates seamlessly into execution.
- Manage and prioritize the Director’s calendar with foresight, preparing contextual briefs for meetings and engagements.
- Coordinate complex domestic and international travel with precision and sensitivity to preferences. Retain context across multiple projects, eliminating redundancy and clarifying decision-making.
2. Strategic Communication & Stakeholder Management
- Draft, refine, and manage communications that reflect the Director’s tone, clarity, and professionalism.
- Act as a representative of the Director in internal and external forums, exercising discretion and cultural sensitivity.
- Build trust across departments, hierarchies, and external stakeholders without overstepping boundaries.
- Navigate sensitive or emotionally complex situations with composure, empathy, and maturity.
3. Information Synthesis & Documentation Oversight
- Convert unstructured inputs (voice notes, rough references, scattered prompts) into polished reports, briefs, or presentations.
- Organize high-level meetings, board reviews, and strategy sessions with structured agendas and follow-ups.
- Prepare accurate Minutes of Meetings (MoM) and track accountability with relational tact.
- Maintain strict confidentiality in handling sensitive and high-stakes documents
4. Project & Operational Coordination
- Track and support progress on strategic initiatives across Hatchlab’s education, technology, and partnership verticals.
- Anticipate operational gaps or risks in planning, proactively suggesting solutions before escalation. Balance efficiency with empathy aligning execution with leadership cadence and stakeholder dynamics.
- Provide analytical support and research-driven insights for decision-making
5. Governance, Compliance & Confidentiality
- Assist in preparing presentations, financial reviews, and legal/strategic documentation.
- Uphold governance and compliance standards while balancing humane and practical execution.
- Anchor high-stakes periods by simplifying workflows and preventing miscommunication
Candidate Profile Qualifications & Experience
- Bachelor’s degree required; Master’s degree in Business Administration, Communications, or related field preferred.
- 3–5 years of demonstrated success in executive assistance, consulting, operations, or Founder’s Office roles.
- Proven ability to manage confidential, fast-paced, and high-stakes workflows while supporting senior leadership.
