Job Summary

Executive Assistant to the Director

Key Responsibilities

1. Executive Support & Coordination

  • Manage the Directors calendar, appointments, meetings, and travel schedules.
  • Organize internal/external meetings, prepare agendas, and track action points.
  • Screen and prioritize emails, calls, and communication on behalf of the Director.
  • Maintain strict confidentiality of business information and sensitive documents.

2. Documentation & Reporting

  • Draft, review, and edit reports, presentations, and business correspondence.
  • Prepare MIS reports, meeting minutes, follow-ups, and status updates.
  • Coordinate documentation for audits, regulatory meetings, and board discussions (pharma-specific).

3. Cross-functional Liaison

  • Act as a communication bridge between the Director and internal teams (Regulatory, QA, QC, Production, R&D, HR, Finance, International Business).
  • Follow up with departments on pending tasks, deadlines, and project updates.
  • Support the Director in strategic reviews and operational planning.

4. Project & Task Management

  • Assist in ongoing pharma projects, product launches, compliance tasks, and internal initiatives.
  • Track timelines for key deliverables like regulatory submissions, audits, product filings, and cross-departmental projects.
  • Coordinate vendor meetings, client interactions, and strategic partnerships.

5. Administrative Management

  • Manage confidential records, contracts, approvals, and critical files.
  • Handle travel arrangements, expense reports, reimbursement claims, etc.
  • Ensure smooth functioning of the Directors office with efficient workflow and communication.

  • Ready to travel in domestic or international if required

Qualifications & Skills

Education

  • Bachelors degree in any discipline.
  • MBA or administrative certification is an added advantage.

Experience

  • 5 to 15 years

    of experience as an Executive Assistant, Secretary.
  • Mandatory experience in a pharmaceutical or healthcare company

    (due to industry-specific documentation and compliance needs).

Technical Skills

  • Strong MS Office skills (Excel, PowerPoint, Word).
  • Experience in handling confidential pharma documentation, audit files, and quality systems is a plus.
  • Ability to prepare professional presentations and reports.

Soft Skills

  • Excellent communication and interpersonal skills.
  • High level of integrity, confidentiality, and professionalism.
  • Strong time management, multitasking, and follow-up capability.
  • Problem-solving approach with strong attention to detail.

Key Deliverables

  • Efficient management of Directors office operations.
  • Timely completion and follow-up of tasks across departments.
  • Accurate reporting, documentation, and communication support.
  • Smooth coordination for meetings, reviews, travel, and strategic initiatives.
