Job Title: Executive Assistant to the CEO


Reports to: Chief Executive Officer


Job Summary:


We are seeking a highly skilled and experienced Executive Assistant to provide administrative support to the CEO. The successful candidate will be responsible for managing the CEO's email inbox, calendar, and schedule, as well as performing various personal and administrative tasks to ensure the CEO's time is optimized. This role requires exceptional organizational, communication, and interpersonal skills, with the ability to work independently and prioritize tasks effectively.


Key Responsibilities:


Email and Calendar Management:

- Manage the CEO's email inbox, filtering out non-essential emails and responding to routine inquiries

- Schedule appointments, meetings, and events, ensuring optimal time utilization

- Coordinate with team members and external parties to schedule meetings and appointments

- Send reminders and notifications as necessary

Personal Tasks:

- Manage the CEO's personal schedule, including family and personal appointments

- Make travel arrangements, including booking flights, hotels, and rental cars

- Arrange for gifts, flowers, or other personal items as requested

- Coordinate with the CEO's family members or other designated individuals as needed

Administrative Tasks:

- Prepare and edit correspondence, reports, and presentations

- Maintain accurate and up-to-date records and databases

- Perform research and analysis as required

- Coordinate company events, meetings, and other functions

Special Projects:

- Take on special projects and tasks as assigned by the CEO, such as managing specific initiatives or events

- Develop and implement processes and systems to improve efficiency and productivity


Requirements:


-Education: Bachelor's degree in Business Administration, Communications, or related field

- Experience: 3-5 years of experience as an executive assistant, preferably to a C-level executive


Skills:

- Excellent communication, organizational, and time management skills

- Ability to work independently and prioritize tasks effectively

- Strong interpersonal and relationship-building skills

- Proficiency in Microsoft Office (Outlook, Excel, Word, PowerPoint) and Google Suite (Gmail, Google Calendar)

- Discretion and confidentiality in handling sensitive information

Personal Qualities:

- Proactive and flexible approach to work

- Ability to maintain a high level of professionalism and integrity

- Strong problem-solving and analytical skills
