As an Executive Assistant, you will play a crucial role in managing office operations and providing high-level administrative and executive support. Your responsibilities will include: - Providing high-level administrative support to C-Suite and senior leadership, including calendar management, travel arrangements, and correspondence. - Managing complex schedules and coordinating meetings, conferences, and events for executives. - Handling confidential information with discretion and professionalism. - Acting as a point of contact between executives and internal/external stakeholders. - Processing monthly expense reports as requested. In terms of office administration, you will be responsible for: - Overseeing daily office operations to ensure a smooth and efficient workplace. - Managing office supplies and equipment, ensuring inventory is well-stocked and properly maintained. - Coordinating with external vendors and service providers for office-related services. - Ensuring compliance with health and safety regulations and managing office facilities. - Maintaining a welcoming and organized office environment for employees and visitors. Additionally, you will be involved in project coordination by: - Assisting in coordinating cross-departmental projects and company-wide initiatives. - Ensuring timely communication and progress tracking for ongoing projects. - Supporting C-Suite in the implementation of organizational strategies. For team coordination, you will: - Assist HR in team-building activities, company events, and employee engagement initiatives. - Coordinate with Plano office staff to meet daily/monthly office operations requirements. In terms of qualifications, you should have: - Minimum 5-7 years of experience supporting C-level executives or senior management. - Bachelor's degree in Business Administration, Office Management, or a related field. - Exceptional organizational and multitasking abilities. - Strong written and verbal communication skills. - Proficiency in Microsoft Office Suite. - Ability to work independently, prioritize tasks, and manage time effectively. - Discretion and integrity in handling sensitive information. - Strong problem-solving skills and a proactive approach to challenges. - Knowledge of office procedures and budget management. - Notary license is a plus. - Financial services industry experience is a plus.
