Description
The Executive Assistant (EA) to the Managing Director will provide high-level administrative, analytical, and operational support to ensure the efficient management of the MD’s office. The ideal candidate will be highly organized, tech-savvy, and skilled in data analysis using Advanced Excel, Power BI, and ERP systems. This role involves managing executive schedules, preparing management reports, tracking KPIs, coordinating cross-functional activities, and ensuring strategic alignment across departments.
Key Responsibilities1. Executive & Administrative SupportManage the MD’s calendar, appointments, meetings, and travel arrangements efficiently.
Prepare agendas, take minutes, and track follow-up actions for meetings.
Handle confidential correspondence, communications, and reports on behalf of the MD.
Coordinate with internal departments to ensure timely completion of assigned tasks.
Maintain an organized filing and documentation system (digital & physical).
2. Business Analysis & ReportingPrepare, analyze, and present business performance reports using Advanced Excel and Power BI.
Develop interactive dashboards for sales, finance, and operational KPIs.
Extract, validate, and reconcile data from ERP systems for management insights.
Support the MD in preparing presentations, business reviews, and board meeting materials.
Provide data-driven insights to assist in strategic decision-making.
3. Project Coordination & Follow-upTrack ongoing projects, ensuring deadlines, deliverables, and budgets are met.
Maintain an action tracker for delegated tasks and report progress regularly to the MD.
Collaborate with cross-functional teams for seamless execution of strategic initiatives.
Support in developing Standard Operating Procedures (SOPs) and process improvements.
4. ERP & System SupportGenerate and customize reports from ERP software as per management requirements.
Monitor data accuracy, ensure timely updates, and troubleshoot ERP reporting issues.
Integrate ERP outputs into Excel and Power BI for enhanced analysis and visualization.
Train or coordinate with team members for efficient ERP usage.
5. Communication & Stakeholder ManagementServe as the first point of contact between the MD and internal/external stakeholders.
Coordinate with clients, vendors, and senior leadership on behalf of the MD.
Draft professional emails, letters, and reports maintaining confidentiality and clarity.
Ensure timely communication and professional representation of the MD’s office.
Key Skills & CompetenciesExcellent organizational and multitasking abilities.
Strong business communication and interpersonal skills.
High proficiency in Microsoft Excel (Pivot Tables, Power Query, VBA Macros).
Experience with Power BI (Dashboard creation, DAX, Data Modelling).
Working knowledge of ERP systems (SAP / Oracle / Tally / Odoo preferred).
Analytical mindset with attention to detail and accuracy.
Ability to handle sensitive information with discretion.
Qualifications & ExperienceEducation: Bachelor’s degree in Business Administration, Commerce, or related field (MBA preferred).
Experience: 4–8 years of experience as an Executive Assistant, preferably supporting top management.
Technical Skills: Advanced Excel, Power BI, ERP software, MS Office Suite, and communication tools (Teams, Outlook).
