Engagement of Individual Tally Software Consultant

1. Introduction

Kawasaki Solar Warehousing Pvt. Ltd. (KSW) is a pioneering agri-logistics company dedicated to transforming India’s agricultural value chain through solar-powered temperature-controlled warehouses, participatory farming, and integrated cold-chain logistics solutions.

With operations currently active at Singur (Hooghly) and Siliguri (North Bengal), KSW is strengthening its financial and accounting systems to ensure efficiency, compliance, and transparency across all business processes.

In this context, KSW invites proposals from qualified and experienced individual Tally Software Consultants for the installation, customization, integration, and ongoing support of the Tally ERP system at its two warehouses.

2. Objective of the RFP

The purpose of this RFP is to identify a competent individual consultant who can deliver end-to-end Tally implementation and support services — from system installation and configuration to data migration, team training, and long-term maintenance — tailored to KSW’s operational and financial workflows.

3. Scope of Work

The selected consultant will be responsible for the following activities:

3.1. Installation & Configuration

• Installation of Tally ERP software at both Singur and Siliguri warehouses.
• Setting up company profiles, ledgers, cost centers, inventory modules, and other necessary accounting features.

3.2. Customization & Optimization

• Customizing Tally modules to align with KSW’s business requirements, including:

    Procurement, warehousing, and value-add transaction records

    Cost center-based budgeting and expense tracking

    Asset register, depreciation schedule, and compliance reports

3.3. Data Migration & Integration

• Importing and migrating existing accounting, procurement, and vendor data.
• Integrating Tally with current Excel-based systems and workflows.

3.4. Training & Capacity Building

• Conducting practical training sessions for accounts and operations teams.
• Providing user manuals and best-practice guidelines for daily usage.

3.5. AMC & Ongoing Support

• Providing post-implementation support under an Annual Maintenance Contract (AMC), including troubleshooting, remote assistance, updates, and version upgrades.
• Conducting monthly system checks and quarterly review meetings.

4. Proposal Submission Guidelines

Interested individual consultants are requested to submit a detailed proposal including the following:

1. Profile & Credentials –

   Personal background, years of experience, area of expertise, and details of similar assignments handled.

2. Technical Proposal

   – Approach and methodology, proposed customization plan, data migration strategy, and implementation process.

3. Financial Proposal – Comprehensive cost breakdown for:

ü Initial installation & setup

ü Customization & training

ü Data migration (if applicable)

ü AMC / annual support charges

1. Project Timeline –

   Expected duration of each phase and total implementation schedule.

2. Support Model –

   Details of support availability, response time, and escalation process.

5. Eligibility Criteria

• Minimum 3 years of experience in Tally ERP implementation and customization.
• Proven experience working with warehousing, logistics, agriculture, or SME enterprises (preferred).
• Ability to provide on-site and remote support in West Bengal.
• Must possess a valid PAN card and GST registration (if applicable) as an independent consultant.

• All costs associated with the proposal preparation will be borne by the consultant.
• The selected consultant must sign a Non-Disclosure Agreement (NDA) prior to commencement of work.
• Payment terms and schedule will be mutually agreed upon before the start of the assignment.
