Role Overview:

Executive Assistant to the CEO


Key Responsibilities:

Executive & Administrative Support

  • Manage and maintain the CEO’s daily calendar, appointments, meetings, and travel itineraries.
  • Coordinate domestic and international

    travel management

    , including visa processing, flight and hotel bookings, transportation, and travel expense reconciliation.
  • Handle scheduling conflicts, meeting priorities, and logistics with sound judgment.
  • Ensure the CEO is well-prepared for meetings, presentations, and key engagements by providing relevant documents, briefs, and background information.
  • Prepare, review, and edit correspondence, reports, and presentations using

    Advanced Excel

    ,

    Word

    , and

    PowerPoint

    .
  • Draft and manage professional communication on behalf of the CEO (emails, memos, letters, etc.).

Project Coordination & Reporting

  • Track progress on strategic initiatives, action items, and deliverables assigned by the CEO.
  • Prepare

    dashboards, reports, and presentations

    for management meetings and Board reviews.
  • Conduct research and compile data to support decision-making and presentations.
  • Coordinate with various departments to ensure timely flow of information and task completion.

Meeting & Event Management

  • Organize internal and external meetings, conferences, and team offsites.
  • Record and circulate minutes of meetings; follow up on key action items.
  • Liaise with vendors, clients, and external partners as required.

Office & Confidential Support

  • Maintain and manage confidential records, contracts, and sensitive business information.
  • Support in expense management, reimbursements, and budgeting activities for the CEO’s office.
  • Represent the CEO’s office with professionalism and discretion in all interactions.


Required Skills & Qualifications:

  • Graduate/Postgraduate in any discipline.
  • 6–10 years of relevant experience as an

    Executive Assistant

    , preferably supporting C-suite executives.
  • Advanced proficiency in MS Excel (pivot tables, dashboards, analytics), PowerPoint (professional presentations), and Word.

  • Excellent written and verbal communication skills.
  • Strong organizational and time management abilities.
  • Ability to manage multiple stakeholders and priorities effectively.
  • High degree of integrity, confidentiality, and professionalism.
