This role manages enrollments, incoming/outgoing email, compliance reporting, course completion tracking, and troubleshoots technical issues. The Specialist maintains system integrity and provides user support, often independently. Collaboration with cross-functional teams is an important aspect of the position and requires a combination of strong technical, data management, customer service, problem-solving, and communication skills.
Responsibilities
- Represent Pinkerton’s core values of integrity, vigilance, and excellence.
- Serve as a Pinkerton LMS administrator.
- Manage enrollments for new and existing employee training courses.
- Manage new hire welcome communications and overdue training notifications.
- Track course progress and communicate with learners and managers to ensure completion by designated deadlines.
- Create and run reports to track completion of courses, leveraging Excel and Power BI.
- Generate compliance reports weekly, monthly, and by request.
- Oversee the global inbox including prioritizing, responding to, and organizing incoming emails efficiently and effectively, and employing customer service best practices.
- Provide support for technical issues including learner login issues, navigation assistance, and password resets.
- Communicate with cross-functional teams to verify and ensure data integrity of employee profile information.
- Maintain related data and documentation.
- Create Standard Operating Procedures (SOPs), as needed.
- All other duties, as assigned.
Qualifications
Bachelor's degree with one to three years of experience in data management, ideally within a Learning Management System (LMS) or similar administrative capacity.
- Attentive to detail and accuracy, especially in relation to data visualization and analytics.
- Understanding of LMS or HRIS platform management.
- Critical thinking skills.
- Able to analyze problems, identify solutions, and make informed decisions.
- Sound judgment and decision-making skills.
- Able to work independently with little supervision.
- Customer service skills with the ability to address user needs promptly, professionally, and empathetically across diverse cultures and at all levels.
- Able to adapt quickly as the external environment and the organization evolves.
- Capable of handling unexpected challenges in a flexible and efficient manner.
- Able to manage multiple projects simultaneously with competing priorities and deadlines.
- Effective communication skills and ability to collaborate successfully within cross-functional teams.
- Computer skills; Microsoft Office including intermediate-level Excel proficiency.
