Key Responsibilities
Customer Engagement & Sales
Handle customer inquiries promptly and professionally across all platforms (WhatsApp, Instagram/Facebook DMs, Email, Website Chat)
Engage with customers to recover abandoned carts and drive conversions
Provide accurate product, pricing, and availability information to customers
Maintain a customer-first approach, ensuring positive experiences at every touchpoint
Implement social media customer engagement strategies to build relationships
Order Management & Vendor CoordinationProcess and track customer orders from placement through delivery
Coordinate closely with vendors to monitor order progress and ensure dispatch deadlines are met
Perform regular follow-ups with vendors and logistics partners
Resolve order-related issues quickly and effectively
Coordinate directly with brands, vendors, and business partners to maintain strong relationships
Inventory & Website Management
Monitor stock levels and update inventory records regularly
Manage Shopify backend operations including product listings, pricing updates, product details, and images
Conduct regular website audits to ensure content accuracy and optimal functionality
Flag low-stock items and coordinate restocking efforts
Ensure product availability through proactive inventory coordination
Operational Support & Data ManagementMaintain organized records of sales, orders, and vendor communications in Google Sheets/Excel
Organize, maintain, and analyze operational data to improve business processes
Attend internal team and partner meetings, take detailed notes, and distribute action items/summaries
Assist Brand Coordinator with vendor and partner communications
Create and manage digital assets using Canva for campaigns, product launches, marketing materials, and communications
Required Qualifications
Core Skills
Expert-level English reading and writing abilities with fluent verbal communication skills
Advanced proficiency with Google Drive suite (Docs, Sheets, Slides)
Expert-level Canva skills for quick, high-quality content creation
Strong organizational abilities with meticulous attention to detail
Excellent time management and task prioritization capabilities
Technical RequirementsMust own a reliable laptop/computer for work purposes
Experience with e-commerce platforms, preferably Shopify
Understanding of inventory management principles
Previous experience in e-commerce operations, retail, or retail administration
Proven ability to manage multiple tasks simultaneously and work under tight deadlines
Personal AttributesProactive problem-solver with a "get things done" attitude
Strong relationship-building skills for vendor and partner management
Basic understanding of social media platforms and customer engagement strategies
Ability to multitask effectively in a fast-paced environment
Preferred Qualifications (Bonus Skills)Knowledge of digital marketing basics
Experience with data organization and analysis
Familiarity with shipping/logistics processes
Ability to work with basic photo editing or design beyond Canva
