Job Title: College Coordinator and Administration Officer Reports To: Principal / Academic Director / Head of Administration Job Summary: The College Coordinator and Administration Officer is responsible for overseeing the daily administrative operations of the college, coordinating academic and non-academic activities, supporting faculty and students, and ensuring effective communication between departments. This role ensures that all administrative, academic, and operational processes run efficiently and in accordance with institutional policies and regulations. --- Key Responsibilities: 1. Administrative Management Manage day-to-day administrative operations of the college. Maintain records of students, staff, and faculty (attendance, leaves, grades, etc.). Handle correspondence, documentation, and filing systems (both digital and paper). Prepare reports, circulars, notices, and minutes of meetings. Supervise office staff and ensure smooth workflow and task distribution. 2. Academic Coordination Coordinate academic schedules, class timetables, and exam schedules. Assist in course registration, academic advising, and examination arrangements. Liaise with department heads and faculty to ensure curriculum delivery runs smoothly. Support the organization of workshops, seminars, and academic events. 3. Student Services and Support Serve as a point of contact for student queries and grievances. Support admissions, orientation, and student record management. Coordinate extracurricular activities, student clubs, and events. Maintain confidentiality and ensure compliance with institutional policies. 4. Communication and Liaison Act as a communication link between management, faculty, staff, and students. Liaise with external bodies such as education boards, accreditation agencies, and partner institutions. Draft and distribute official communications (emails, announcements, circulars, etc.). 5. Operational and Facility Management Coordinate logistics for meetings, events, and administrative activities. Manage office supplies, maintenance requests, and vendor communication. Ensure campus facilities are functional, safe, and well-maintained. 6. Policy Compliance and Quality Assurance Ensure adherence to institutional policies, regulations, and accreditation standards. Assist in audits, inspections, and documentation for regulatory compliance. Participate in continuous improvement initiatives and feedback systems. --- Qualifications and Skills: Education: Bachelor’s degree in administration, Management, Education, or a related field (master’s preferred). Experience: 2–5 years of administrative or coordination experience, preferably in an educational institution. Skills: Strong organizational and multitasking abilities. Excellent written and verbal communication skills. Proficient in MS Office Suite (Word, Excel, PowerPoint) and student management systems. Problem-solving and interpersonal skills. Ability to work independently and collaboratively. --- Work Environment: Based on-campus, typically office-based with interaction across departments. Occasional evening or weekend work during events or peak academic periods.
