Requirements

The Role:

As a project coordinator your primary responsibility is to provide project management and administrative support to the Engagement/Project managers helping them and Fresh Gravity maximize the use of our team and minimize revenue leakage. You will be involved with activities that include contract (SOW/Change Request) renewals, purchase order coordination with clients and our Finance team, staffing coordination, team member onboarding/offboarding, team member time sheet monitoring and hygiene management, project budget management, milestone tracking and monitoring, and coordination with our Finance team on invoicing. You will provide such support across multiple projects at a time.

What You’ll Do:

Contract Management

• Assist EM/PMs with SOW and CR creation and renewals. This will include tracking when our contracts are coming up for renewals and ensuring timely renewals
• Monitor and coordinate the life cycle of SOW/CRs through the receipt of purchase orders from the clients.

Staffing Coordination and Team Member Allocation Management

• Learn and track competencies of our team members so you can identify suitable matches between project needs and team members on the beach (not actively working on a client project)
• Work with EM/PMs to understand project needs and collaborate with capability leads on identifying appropriate team members for projects.
• Evaluate project timelines, budgets and team member constraints to ensure the efficient allocation and utilization of team members.
• Coordinate with our Talent Acquisition team providing them a heads up if external sourcing or hiring is required. This includes working with EM/PMs to draft appropriate job descriptions when needed.
• Negotiate with EM/PMs on sharing/swapping of team members between projects
• Assist EM/PMs on project onboarding related processes, activities including coordination with client personnel on their onboarding processes

Project Budget Management

• Ensure accurate allocation of team members to Harvest (time keeping system) projects, including setup of appropriate project tasks against which time is logged
• Track and monitor timely time sheet entry by respective team members including following up and escalating time sheet defaulters.
• Counsel team members on logging of time against appropriate tasks based on inputs from EM/PMs
• Understand and monitor project commercial model (T&M, Fixed monthly Cost, Milestone based Fixed Price) by tracking team member allocation and utilization (planned vs actual)
• Maintain a ‘burn sheet’, where appropriate and analyze budget usage (over/under) and provide EM/PMs visibility on budget under/over runs with the goal of minimizing revenue leakage

Invoice Collaboration

• Assist EM/PMs with Invoicing instructions for Finance team each month
• Create Invoicing summary spreadsheets based on Harvest/Burn Sheet information and ensure 3-way accuracy between Harvest, Burn Sheet and Email communication to Finance team for Invoicing
• Track Milestones on FP projects and ensure timely invoicing of milestones in collaboration with EM/PMs
• Identify cases where Invoicing cannot be done due to reasons beyond our control and provide proforma invoicing information to Finance team for revenue accrual each month
• Ensure Invoices generated and sent by Finance team are accurate, complete and sent to the correct distribution list

What we're looking for:

• Master’s degree and/or professional in business administration, project management or a related field.
• Familiarity and knowledge of data management domain and technology skills
• Detail oriented individual with demonstrated experience multi-tasking across multiple projects
• Strong communicator with good negotiation and collaboration skills.
• Experience as a junior PM on small-scale projects with responsibility for project budget and commercial management
• Strong financial acumen and ability to analyze resource-related costs and budgets.
• Experience in managing remote or geographically dispersed teams.
