Role Overview

We are hiring an experienced Interview Coordination Lead who will take end-to-end ownership of high-volume, multi-stakeholder scheduling while ensuring a best-in-class candidate experience.

This role starts as an Individual Contributor (IC) with a clear growth pathway into a Team Lead role. Ideal for professionals with 7–12 years of relevant experience looking to expand into team management while continuing to lead critical coordination operations hands-on.

Key Responsibilities

Interview Scheduling & Execution

• Own complex scheduling across multiple time zones using Outlook, Zoom, MS Teams, or similar platforms.
• Manage last-minute changes with poise and agility.
• Ensure smooth communication and logistics for all stakeholders.

Candidate Experience Leadership

• Be the primary point of contact for candidates throughout the interview process.
• Deliver a seamless, white-glove experience that reflects Maximus values.
• Track feedback and engagement for continuous improvement.

Stakeholder & Cross-Functional Engagement

• Partner with recruiters, hiring managers, EAs, and global teams to align schedules and expectations.
• Share real-time updates and manage conflicts or escalations with maturity.
• Prepare detailed interviewer briefs and candidate packs.

Reporting, Analytics & Process Optimization

• Maintain dashboards and trackers using Excel/Google Sheets/ATS.
• Drive weekly/monthly reporting on interview metrics and satisfaction.
• Identify gaps in the process and recommend data-driven improvements.

Presentation & Influence

• Create clear, concise reports and presentations for TA and business reviews.
• Represent the coordination function in stakeholder syncs and team huddles.
• Serve as a role model for operational excellence in the team.

What We’re Looking For

Must-Have

• Bachelor’s degree in any field
• 7–12 years of experience in interview coordination or recruiting ops in tech/consulting
• Strong command of Outlook, Excel, PowerPoint, and coordination tools
• Familiarity with ATS platforms like Workday, Greenhouse, SuccessFactors, etc.
• Excellent communication, stakeholder management, and time management skills
• Experience handling executive or niche tech hiring coordination
• Knowledge of TA operations and terminology
• Exposure to global and hybrid work environments
• Ownership mindset with strong attention to detail and process
