Assistant Manager – Operations & Client Coordination
Location: Rajajinagar, Bengaluru (field + office)
Function: Supply Chain / Warehousing Ops
Travel: Frequent in-city (2W mandatory)
Role Purpose
Be the execution bridge between the company's promoters—owning daily coordination, on-ground follow-ups, and system updates so plans convert to outputs.

- Direct: Technical/Operations Director

Top 6 Outcomes (KPIs)
- Timely Updates: All trackers (CRM, ops, POs, GRNs, visit logs) updated same day by 7:30 pm; zero backlog.
- Closure Rate: ≥ 90% of daily action items closed by due date; escalations before SLA breach.
- Field Compliance: ≥ 95% adherence on visit checklists (photos, notes, sign-offs).
- Lead/Deal Hygiene: 100% of client/vendor interactions logged in CRM within 24 hrs.
- Meeting Rhythm: Daily 6:00 pm site sync + 6:30 pm founder sync prepared with data (notes, deltas, risks).
- Issue Turnaround: Category-A issues acknowledged in 30 min, resolved/owner assigned within 1 business day.
What You’ll Do (Responsibilities)
- Coordination & Communication
- Run the daily cross-team checklist; chase closures; publish EOD status.
- Maintain the action/decision/risk register; prepare agendas & minutes for 6:00 pm and 6:30 pm stand-ups.
- Field Execution
- Visit sites/warehouses/vendors; verify progress vs plan; collect evidence (geo-tagged photos, GRNs, delivery challans).
- Raise on-ground requisitions (manpower, JCB/roller, consumables) and track approvals to delivery.
- Systems & Documentation
- Keep Google Sheets/Drive neat: versioned files, proper naming, links in INDEX tabs.
- Log POs/GRNs/invoices; coordinate with Procurement/Accounts for weekly MCLR and Friday roll-ups.
- Maintain client/vendor contact base and follow-up cadences.
- Client & Vendor Support
- Slot meetings, share pre-reads, capture MoMs, confirm next steps & dates.
- Support simple quotes/SOWs, site readiness checklists, and site handover docs.
- Governance
- Flag slippages early with options (Plan A/B/C).
- Ensure confidentiality and IP discipline on all templates/SOPs.
Tools You’ll Use
Google Sheets/Drive, Docs, Gmail/Calendar, WhatsApp Business, simple CRM (Sheets), phone camera with timestamp/geo-tag, MS Excel basics.
Must-Haves
- Experience: 2–5 years in coordination/ops/client service (logistics/warehousing/QSR preferred).
- Languages: English + Kannada (Hindi is a plus) for vendors and field teams.
- Mobility: Two-wheeler with valid DL and good city route knowledge.
- Behaviour: Proactive, punctual, calm under pressure; crisp written updates.
Nice-to-Haves
Basic GST/GRN awareness, vendor onboarding, safety & housekeeping checklists, simple SOP writing.
Working Hours & Rhythm
- Field & office mix; EOD update by 7:30 pm mandatory.
- Daily: 6:00 pm site team sync; 6:30 pm founder sync (you prepare the data pack).
Compensation & Logistics
- CTC: As per experience
- Reimbursements: Fuel/parking/tolls against slips; business calls; field stationery.
- Phone/Sim: Business WhatsApp required (company-approved).
- Probation: 3 months with a 30/60/90-day scorecard.
