Role Overview:

The Deputy/Assistant Registrar (Academics) will be responsible for overseeing the academic administration of the university, ensuring adherence to regulatory guidelines, maintaining quality standards, and supporting the implementation of effective teaching-learning practices. The role will require close collaboration with faculty, academic leaders, and regulatory bodies to strengthen academic processes and uphold excellence in education delivery.


Responsibilities:

  • The Deputy/Assistant Registrar (Academics) will be responsible for overseeing the academic administration of the university, ensuring adherence to regulatory guidelines, maintaining quality standards, and supporting the implementation of effective teaching-learning practices. The role will require close collaboration with faculty, academic leaders, and regulatory bodies to strengthen academic processes and uphold excellence in education delivery.
  • Monitor implementation of academic processes including curriculum implementation, examination systems, credit frameworks, and academic records.
  • Ensure effective and efficient coordination and implementation of activities in Academic Affairs
  • Liaises with and assists the Departments and Faculties in the preparation and implementation of regulations and syllabi
  • Liaises with academic team for the revision of academic processes or guidelines as required
  • Is the custodian of academic rules and regulations, practices and norms.
  • Is the custodian of student disciplinary files (Academic grounds)
  • Handle student’s issues in relation to selection of careers and degree choices.
  • Maintain student enrollment records and transcripts, organize registration procedures, schedule courses and classrooms and prepare master course schedule
  • Ensure confidentiality in the storage, maintenance, handling, and transfer of student records
  • Maintain the University’s Academic calendar
  • Understanding and proposing linkages across admissions, academic registry, scholarship and internship, placement tracking, etc., so that the students experience an integrated and seamless transition through the University experience (from admission to graduation)
  • Collaborate with administrators, Deans, Heads of Schools/Depts. Faculty, IT and counselors to facilitate and improve various academic services to students, including catalog and registration/records policy questions
  • Develop proactive relationships with relevant external stakeholders and monitor developments in best practice within the HE sector ensuring that creative solutions are incorporated into strategies/policies/ procedures in the academic process.
  • Support the design, review, and continuous improvement of teaching-learning practices across programs.
  • Support and monitor conduction of faculty development programs and workshops
  • Monitor and record the participation of academic staff and students in different events outside the University
  • Develop and oversee the implementation of policies related Research and Development, Entrepreneurship, Industry Integration, Community Impact etc.
  • Coordinate internal and external quality assessment processes.
  • Develop and oversee academic audit frameworks to ensure academic rigor and transparency
  • Ensure the integrity, accuracy, and security of all academic records of current and former students;
  • Build secure student data files and set policy and procedures for their responsible use;
  • Manage efficient use of classrooms, labs, Collaborations, and supervise regular feedback and academic audit systems;
  • Counsel and advise students and staff on academic matters as required
  • Interpret and enforce policies and regulations of the University
  • Supervise the processes for the articulation of transfer credits, graduation and certification of the University’s degrees, enrolment and degree verification, production of official transcripts, diplomas, and commencement ceremonies;
  • Compiling and presenting data related to IQAC, IoE and rankings
  • Ensure that critical academic processes are sustained to meet statutory and contractual requirements, and that the University’s academic regulatory framework is fit for purpose and compliant with external agency requirements (e.g. UGC, NCVET, NAAC, and other government agencies).
  • Ensure compliance with statutory and regulatory requirements (UGC, NSQF, NHEQF, etc.).
  • Handling the issuance of Degrees/Diplomas, Medals, verification of degrees
  • Organizing graduation ceremonies


Qualifications

  • Postgraduate degree in a relevant discipline (Ph.D. preferred).
  • 8+ years of experience in administration as Asst Registrar/Deputy Registrar, (

    preferably in a University setup

    ).
  • Strong understanding of Teaching-learning practices, curriculum development, and higher education frameworks.
  • Experience in academic audit, accreditation, and quality assurance processes.
  • Familiarity with NEP 2020, NHEQF, NSQF, and outcome-based education models will be an advantage.
  • Sound understanding of data quality and governance
  • Excellent IT skills, including knowledge of the use of ERPs and Data Analysis
  • Excellent interpersonal, communication and negotiation skills
  • Excellent Critical thinking and problem-solving skills
  • Excellent leadership ability to collaborate and drive dynamic initiatives
