Project Manager

Work Arrangement: Remote - IndiaSchedule: Mondays-Fridays, starts at 10pm IST (40hrs/week)

About The Role

The Project Manager is responsible for leading cross-functional collaboration and ensuring the seamless delivery of digital marketing and advertising projects. This role involves managing project timelines, coordinating resources, and aligning teams across strategy, creative, media, and production to achieve business goals.The position requires strong communication and organizational skills, the ability to bring structure to dynamic environments, and proficiency in project management tools and methodologies. The Project Manager will work closely with senior stakeholders to support new business initiatives, maintain process efficiency, and deliver high-quality, client-ready outcomes. A proactive, detail-oriented, and strategic professional who thrives in fast-paced, deadline-drivensettings will be well-suited for this role.

Key Responsibilities

  • Pitch Planning & Timeline Management
    • Develop and manage workback plans with key milestones across strategy, creative, media, and production.
    • Ensure all workstreams are aligned and progressing toward final submission or presentation.
  • Cross-Functional Coordination
    • Facilitate collaboration across account, strategy, creative, media, production, analytics, HR, and finance teams.
    • Coordinate essential internal meetings and tasks, such as:
      • Planning sessions and kickoffs
      • Creative and media reviews
      • Staffing discussions and team check-ins
      • Proof and studio coordination
  • Resource & Capacity Planning
    • Assess team bandwidth and secure necessary resources, including freelancers or external partners.
    • Identify resourcing gaps and recommend solutions to ensure continuity.
    • Coordinate and communicate the staffing of shared resources to the PMO.
    • Coordinate and schedule overtime for Proofreading and Studio teams, as needed.
  • Executive & Stakeholder Engagement
    • Coordinate reviews and approvals with senior leadership and core team members.
    • Schedule and facilitate dry runs to prepare for executive presentations.
  • Risk & Issue Management
    • Proactively identify risks (e.g., timeline slippage, scope creep) and escalate appropriately.
    • Troubleshoot blockers and maintain progress under tight deadlines.
  • Client-Presentation Readiness
    • Ensure all client-facing materials are proofread, formatted, and presentation-ready.
    • Organize pitch rehearsals and support post-pitch debriefs and feedback loops.
  • Process Optimization
    • Capture learnings and contribute to refining pitch workflows, tools, and templates for future use.
  • Documentation & Reporting
    • Maintain meeting notes, creative files, timelines, staffing plans, and final submissions.
    • Provide regular status updates to the VP, Program Management, and other executive stakeholders.
    • Support additional strategic initiatives across the organization, as prioritized by key executive stakeholders, following PMO standard operating procedures.

The Ideal Candidate Will Possess:

  • 7+ years of project management experience, preferably in advertising, sales, marketing, or business development
  • Familiarity with digital marketing concepts and platforms (e.g., creative, social media, paid media, SEO)
  • Proven success managing complex, cross-functional projects with senior stakeholders
  • Able to manage multiple projects in a fast-paced, deadline-driven environment with the ability to prioritize multiple projects with often competing priorities.
  • Strong organizational, analytical, and communication skills
  • Experience working remotely and across time zones; must be available during PST hours

  • Industry & Process Knowledge
    • Experience working in a creative agency or similar fast-paced environment.
    • Understanding of digital advertising channels (e.g., paid social, display, search, programmatic).
    • Familiarity with Agile or Scrum methodologies.
    • Experience managing RFPs or exposure to the business development lifecycle.
  • Technical & Tool Proficiency
    • Experience with Smartsheet is a plus.
    • Experience with proofreading tools (e.g., Ziflow).
    • Familiarity with design production software (e.g., Figma, InDesign).
    • Ability to analyze campaign performance data and contribute to reporting.
  • Production & Collaboration Experience
    • Exposure to photo/video shoots and content production.
    • Experience working with remote or distributed teams.
  • Certifications
    • PMP or equivalent certification is a plus.
