Responsibilities:

Facility Management:

  • Oversee the smooth functioning, maintenance, and housekeeping of the site to ensure clean, safe and compliant environment.

Vendor Management:

  • Liaise with vendors and service providers for AMC, contracts, negotiation, quality checks, and timely renewal of services.

Front Desk & Visitors/Guest Management:

  • Oversee front desk activities, greet and assist visitors/ guests in a professional and courteous manner.

Canteen Management:

  • Supervise canteen operation, conduct monthly meetings, coordinating with vendors to ensure hygiene, quality and service standards.

Petty cash monitoring & Budgeting:

  • Manage and report on petty cash expenses related to administration functions. Manage budgeting for administration function.

Linen Management:

  • Manage linen supply usage, and quality through regular audits.

Employee tour Arrangements:

  • Organize employee travel arrangements including bookings, visas and accommodation.

Monthly Stationery Management

PR & CAPEX FOR HR & Admin function & process invoices

LAMS, Canteen & Access Controls Addition & Deletions

Manage & Support Employee Engagement activities & Functional event

Support New hires & Exit formalities to HR:

  • Assist with onboarding new hires and handle exit formalities in coordination with the HR team.

QMS Compliance & Service Controls

  • Ensure adherence to quality management system (QMS) requirements for all admin- monitored services.

Technical & Behavioral Competencies:

  • Proficient in MS office, email & admin/ERP software.
  • Knowledge of facility maintenance processes.
  • Clear communication and teamwork.
  • Effective problem solving and attention to detail.
  • Accountable and customer service oriented.
  • Adaptable, ethical and shows initiative.
  • Excellent time management and multitasking skills.
