Job Description

Role Overview We are seeking a highly organized, energetic, and dependable Executive Assistant to directly support the Managing Director of a dynamic engineering manufacturing company. This is not a routine secretarial role—the position demands initiative, multi-tasking ability, and a proactive mindset to anticipate needs and manage priorities in a fast-paced business environment. The ideal candidate will be detail-oriented, discreet, and capable of handling both professional and occasional personal responsibilities with efficiency and integrity. Key Responsibilities Follow-Up & Task Management: Track assigned and delegated tasks with precision, ensure deadlines are met, and maintain accountability across teams. Executive & Administrative Support: Manage calendars, schedule meetings, coordinate travel, draft documents, and handle correspondence with accuracy and professionalism. Cross-Team Coordination: Liaise with different departments and employees across seniority levels to ensure smooth execution of MD’s directives. Information & Record Management: Maintain files, reports, and sensitive company data with confidentiality and attention to detail. Communication & Documentation: Draft professional letters, reports, and emails with excellent written English. Handle Google searches and online research as required. Personal Support: Assist the Managing Director with select personal and confidential errands when necessary. Essential Qualifications & Skills Experience: Minimum 3 years in a similar role (Executive Assistant / Secretary / Office Coordinator), preferably supporting senior leadership. Education: Graduate, preferably from a reputed secretarial/administrative program. Technical Skills: Proficient in MS Office (Excel – Pivot Tables, VLOOKUP; Word, PowerPoint), Google Workspace, and internet research. Language Skills: Excellent command of spoken and written English with strong drafting ability. Organizational Skills: Ability to manage multiple priorities, maintain structured task lists, and seamlessly carry forward follow-ups. Integrity & Professionalism: High level of discretion, reliability, and proven honesty; strong professional references required. Personal Attributes Stable employment history – preference for candidates with a long-term career mindset. Married, preferably with children, and residing within a reasonable commute (≤45 minutes) of the office. Adaptable and open to handling a mix of executive, administrative, and personal tasks. Trustworthy, discreet, and capable of managing confidential matters.
