A Raw Material (RM) Store Manager in a pharmaceutical manufacturing plant plays a critical role in ensuring the smooth and compliant flow of materials from receipt to dispensing. This position requires a strong understanding of both supply chain management and Good Manufacturing Practices (GMP) regulations.
Here's a breakdown of common responsibilities:
I. Inventory Management and Control:
- Receipt and Inspection:
- Oversee the accurate receipt of all incoming raw materials, verifying against purchase orders, challans, and invoices.
- Ensure proper identification and labeling of all received materials, including batch numbers, expiry dates, and quarantine status.
- Coordinate with Quality Control (QC) for timely sampling and testing of raw materials.
- Manage the quarantine area for untested materials and ensure release or rejection based on QC results.
- Storage and Segregation:
- Ensure raw materials are stored under specified conditions (temperature, humidity, light, etc.) to maintain their quality and integrity.
- Implement and enforce strict segregation of different materials to prevent mix-ups and cross-contamination (e.g., active pharmaceutical ingredients (APIs), excipients, packaging materials).
- Optimize storage layouts for efficient space utilization and easy accessibility.
- Maintain strict adherence to the FIFO (First In, First Out) and FEFO (First Expired, First Out) principles for material issuance.
- Issuance and Dispensing:
- Manage the accurate and timely dispensing of raw materials to production departments based on approved production orders.
- Ensure proper documentation of all issuance and dispensing activities.
- Oversee the weighing and measurement of materials in a controlled environment to prevent errors.
- Stock Reconciliation and Reporting:
- Conduct regular physical stock checks and reconcile with inventory management system records (e.g., ERP systems like SAP).
- Investigate and resolve any discrepancies in stock levels.
- Prepare and submit accurate reports on stock levels, consumption, obsolete stock, and material issues to management.
- Analyze data to anticipate future material needs and identify potential shortages or surpluses.
II. Compliance and Quality Assurance (QA/QC):
- GMP/GDP Adherence:
- Strictly adhere to all Good Manufacturing Practices (GMP) and Good Documentation Practices (GDP) guidelines relevant to raw material storage and handling.
- Ensure the store area is always audit-ready (internal and external audits).
- Implement and maintain standard operating procedures (SOPs) for all store operations.
- Quality Control Coordination:
- Collaborate closely with the Quality Control department for sampling, testing, and release of materials.
- Ensure proper handling and storage of retain samples.
- Documentation and Record Keeping:
- Maintain comprehensive and accurate records for all raw material movements, including receipt, sampling, testing, release, issuance, and returns.
- Ensure all documentation is traceable and readily available for audits.
- Waste Management:
- Oversee the proper disposal of rejected, expired, or obsolete raw materials in accordance with environmental regulations and company policies.
III. Operations and Leadership:
- Team Management:
- Lead, supervise, and mentor store staff, including training and development.
- Assign tasks, monitor performance, and ensure efficient utilization of manpower.
- Promote a culture of safety, quality, and continuous improvement within the store team.
- Collaboration and Communication:
- Coordinate effectively with other departments such as Production, Planning, Purchase, Quality Assurance, and Logistics to ensure timely material availability.
- Communicate any material-related issues or potential disruptions to relevant stakeholders.
- Supplier Relationship Management (Indirect):
- While direct purchasing is often handled by a separate department, the RM Store Manager may be involved in providing feedback on supplier performance based on material quality, delivery, and adherence to specifications.
- Continuous Improvement:
- Identify opportunities to optimize inventory control procedures, reduce costs, and improve operational efficiency within the RM store.
- Explore and implement new technologies or systems to enhance material management.
- Maintenance and Housekeeping:
- Ensure the raw material store is maintained in a clean, organized, and hygienic condition.
- Oversee the maintenance and calibration of material handling equipment.
IV. Skills and Qualifications:
- Education: Bachelor's degree in Pharmacy, Science, Logistics, Supply Chain Management, or a related field.
- Experience: Proven experience (typically 5+ years) in a similar role within the pharmaceutical manufacturing industry, with a strong understanding of raw material management.
- Technical Skills:
- Proficiency in inventory management software (e.g., ERP systems like SAP MM).
- Excellent knowledge of inventory control techniques (FIFO, FEFO, ABC analysis).
- Strong understanding of GMP and pharmaceutical regulations.
- Proficiency in MS Office Suite (especially Excel for data analysis and reporting).
