QHSE Executive / Assistant

Role Description

This is a full-time on-site role for a QHSE Executive / Assistant based in Mumbai. The QHSE Executive / Assistant will be responsible for implementing and maintaining quality, health, safety, and environmental management systems.

1. Support in Safety and Quality Assurance

• Assist in promoting safety, environmental protection, and quality performance across the fleet.
• Ensure fleet operations align with ISO 9001 standards and contribute to continuous improvement of the Quality Management System (QMS).

2. Internal Audits and Regulatory Compliance

• Support planning, coordination, and execution of internal audits (vessels and office) for compliance with SMS, ISM Code, ISPS Code, and MLC 2006.
• Follow up on audit findings to ensure effective corrective actions.

3. Training and Induction Programs

• Ensure safety training requirements are met and delivered effectively.
• Support onboarding of new employees by integrating comprehensive QHSE content into induction programs.

4. Stakeholder Coordination

• Liaise with Flag Administrations, Classification Societies, charterers, terminals, and other third parties to ensure smooth vessel operations and compliance.
• Collaborate with internal departments for consistent implementation of the company’s SMS.

5. Change and Deviation Management

• Assist in managing Management of Change (MoC) processes and temporary deviations from company procedures.
• Ensure proper documentation and risk mitigation measures are in place.

6. Inspections and Vetting

• Coordinate audits, vetting inspections, and third-party reviews.
• Support documentation and preparation to ensure vessels are inspection-ready and observations are addressed promptly.

7. Monitoring and Continuous Improvement

• Monitor records such as Master’s Reviews, onboard training, drills, familiarization processes, and near-miss reports.
• Contribute to risk assessment reviews and ensure lessons learned are captured and improvements implemented.

8. Incident Investigation

• Support investigation of incidents and accidents.
• Assist in root cause analysis and track corrective/preventive action implementation.

9. Documentation and Reporting

• Maintain organized and accurate records related to health, safety, and quality compliance.
• Assist in preparing reports and presentations for internal and external stakeholders.

10. Communication and Software Proficiency

• Communicate clearly and effectively, both verbally and in writing, with internal teams and external bodies.
• Proficient in Microsoft Office applications (Word, Excel, PowerPoint) for documentation, analysis, and presentations.

Qualifications

• Experience and knowledge in Quality Management Systems and Environmental Management Systems
• Proficiency in conducting audits, inspections, and risk assessments
• Strong understanding of health and safety regulations and compliance requirements
• Excellent documentation, reporting, and communication skills
• Ability to provide training and promote a culture of safety and continuous improvement
• Bachelor’s degree in Engineering, Environmental Science, or a related field
• Relevant certifications in QHSE or related areas are advantageous
• Experience in the shipping or maritime industry is a plus
