Role Overview

The Purchase Assistant will support the procurement team in sourcing, negotiating, and purchasing materials required for structural steel fabrication, construction projects, and engineering works. The role involves vendor coordination, purchase documentation, follow-ups, and ensuring timely delivery of high-quality materials at competitive prices.


Key Responsibilities

1. Procurement Support

  • Assist in identifying, sourcing, and evaluating suppliers for steel, fabrication materials, hardware, consumables, and services.
  • Collect quotations, compare pricing, and prepare comparative statements.
  • Prepare Purchase Orders (POs) and maintain accurate documentation.


2. Vendor Coordination

  • Follow up with vendors for timely order confirmation, dispatch, and delivery.
  • Maintain healthy vendor relationships and address routine issues.
  • Coordinate for material testing certificates, quality checks, and documentation.


3. Material Management

  • Track material requirements as per project schedules and purchase plans.
  • Work closely with stores, site teams, and production department for demand and delivery updates.
  • Assist in monitoring stock levels and raising procurement requests accordingly.


4. Documentation & Reporting

  • Maintain purchase records, delivery notes, GRNs, invoices, and supplier database.
  • Support in preparing procurement reports, savings reports, and cost tracking sheets.
  • Ensure compliance with company procurement policies and audit requirements.


5. Coordination with Internal Teams

  • Collaborate with Accounts for invoice verification and payment follow-ups.
  • Work with the Engineering/Project team to understand material specifications and urgency.


Skills & Competencies

  • Strong communication and negotiation skills.
  • Basic understanding of procurement processes (preferably in construction/structural industry).
  • Proficiency in MS Office (Excel, Word) and ERP systems.
  • Attention to detail and ability to multitask.
  • Time management and follow-up skills.


Qualifications & Experience

  • Bachelor’s Degree / Diploma in Commerce, Business Administration, Engineering, or related field.
  • 1–3 years of experience in purchase or supply chain (experience in structural steel or construction industry preferred).
  • Freshers with strong aptitude may also be considered.
