Job Description

● Ensure adherence to organizational procurement policies and legal regulations (MSME Act, GST, etc.).

● Maintain open and clear communication with stakeholders regarding procurement updates.

● Maintain accurate and up-to-date documentation for all purchases, creditors, and inventory.

● Submit necessary approvals for PO cancellations or large-value procurements.

● Ensure timely and accurate submission of all required reports.

Role Tasks:

● Creditor Reporting:

β—‹ Submit advance-paid balance summaries to accounts and directors.

β—‹ Provide detailed reports of outstanding creditors categorized by duration (6 months, 1 year,

etc.), including dispute status.

● Asset & Inventory Management:

β—‹ Report on capital WIP ready for use with put-to-use dates.

β—‹ Provide fixed asset purchase lists and maintenance updates to accounts.

β—‹ Conduct monthly physical stock verification and submit wastage reports.

● Vendor Relations:

β—‹ Gather supplier information on category/status (MSME/SME) and liability/outstanding.

β—‹ Maintain quarterly reports on small-scale industry supplier creditor balances.

● Procurement Control:

β—‹ Submit POs exceeding 60 days without consumption for cancellation approval.

β—‹ Submit maintenance reports of spare parts monthly.

● Client Engagement:

β—‹ Coordinate gift sourcing and distribution to primary clients within allocated budgets.

Skills

● Strong negotiation and communication skills.

● Proficiency in procurement software and tools.

● Analytical thinking and problem-solving.

● Attention to detail and organizational skills.

● Ability to manage monthly purchases worth β‚Ή70 lakhs efficiently.

● Experienced in procurement of machinery, packaging material, raw materials, and general items.

● Coordination with vendors and internal teams to ensure timely delivery and cost-effective purchasing.

Knowledge

● Comprehensive understanding of supply chain management.

● Familiarity with MSME regulations, compliance requirements, and accounting principles.

● Knowledge of inventory management and fixed asset tracking.

● Strong knowledge of engineering components and machinery parts.

● Understanding of vendor evaluation, sourcing strategy, and cost benchmarking.

● Practical exposure to purchase planning in a manufacturing setup.
