Job Title: Payroll Specialist Department: Human Resources Location: [Insert Location] Reports To: Head – HR Job Overview: We are looking for a detail-oriented and experienced Payroll Specialist to manage the complete payroll function of the organization. The ideal candidate will be responsible for handling end-to-end payroll processing, attendance and leave management, statutory compliances (PF, ESIC, TDS, etc.), full & final settlements, incentive and overtime payments, and related employee documentation. The role also involves supporting internal audits, ensuring statutory adherence, and addressing employee queries efficiently and professionally. Key Responsibilities: Payroll & Compliance Manage complete payroll processing and ensure accuracy and timeliness. Validate attendance, leave, overtime, and incentive data before payroll finalization. Handle statutory compliances — PF, ESIC, Professional Tax, and TDS — including monthly challans, returns, and audits. Reconcile payroll data with finance and ensure timely salary disbursements. Maintain employee payroll records and ensure data confidentiality at all times. Attendance & Leave Management Oversee attendance and leave tracking through biometric/HRMS systems. Monitor absenteeism, late marks, and leave balances as per company policy. Coordinate with department heads for validation and discrepancy resolution. Full & Final Settlement Prepare and process final settlements for exiting employees, including salary, leave encashment, gratuity, and recoveries. Ensure timely clearance and documentation in coordination with finance and HR. Incentive & Overtime Payments Collect and validate incentive, performance bonus, and overtime data. Process payments in alignment with company policies and timelines. Audit & Statutory Reporting Support internal and external payroll audits with required documentation. Maintain updated compliance trackers and reports for management review. Keep abreast of statutory amendments and ensure implementation as required. Employee Relations & Documentation Address and resolve employee grievances related to payroll, deductions, or attendance. Issue HR-related letters including appointment, confirmation, warning, absconding, and separation letters. Maintain proper documentation and filing of employee records for audit and compliance purposes. Required Skills & Competencies: Strong knowledge of payroll processing, taxation, and labour law compliances. Hands-on experience with HRMS or payroll software (e.g., Zoho People, GreytHR, SAP, etc.). Excellent accuracy, attention to detail, and confidentiality in handling sensitive data. Good communication and interpersonal skills. Analytical mindset and ability to handle multiple priorities within deadlines. Qualification & Experience: Graduate/Postgraduate in Commerce, Human Resources, or related field. 3–6 years of experience in payroll management and statutory compliance.
