Job Description

Job Title: Office Administrator Location: Ranchi, Jharkhand Job Type: Full Time Reports to: Zonal Manager Salary: Rs 15,000/ to Rs 30,000/ per month subject to negotiations. Job Summary: We are seeking a highly organized, reliable, and proactive Office Administrator to oversee and manage the daily administrative operations of our office. The ideal candidate will ensure the smooth running of the office and help improve company procedures and day-to-day operations. Key Responsibilities: Organize and schedule meetings and appointments. Maintain filing systems (physical and digital). Coordinate office activities and operations to ensure efficiency and compliance with company policies. Prepare and send invoices to clients; follow up on outstanding payments. Record and track billing transactions accurately. Support the finance department by maintaining financial records, updating accounts, and performing basic bookkeeping tasks. Reconcile office expense reports, petty cash, and bank statements. Assist with monthly, quarterly, and annual account closings as needed. Act as the point of contact for internal and external clients. Handle incoming and outgoing correspondence (emails, mail, packages). Assist in onboarding new employees (setup, paperwork, orientations). Support budgeting and bookkeeping procedures. Manage office supplies inventory and place orders as necessary. Maintain office condition and arrange necessary repairs or services. Liaise with facility management vendors, including cleaning, catering, and security services. Requirements and Qualifications: Proven experience as an Office Administrator, Office Assistant, or relevant role. Excellent written and verbal communication skills. Strong organizational and time-management skills. Proficiency in MS Office (Word, Excel, Outlook, PowerPoint). Familiarity with office management procedures and basic accounting principles is a plus. Ability to work independently and as part of a team. Preferred Skills: Attention to detail and problem-solving skills. Ability to prioritize tasks and manage multiple deadlines. Experience with office management software (e.g. ERP, SAP, QuickBooks, or similar) is a plus. Customer service experience is a bonus. Working Conditions: Office-based role with standard business hours (e.g., 10.30 AM – 5.30 PM). May require occasional overtime or weekend work depending on operational needs.
