Job Description

Position Summary

We are looking for a proactive and well-organized Administration Manager to lead and oversee our day-to-day administrative operations and front desk management. This role will serve as the face of the company, ensuring a professional and welcoming environment for all visitors. The ideal candidate will be responsible for smooth internal coordination, vendor management, and overall office support, contributing to the efficient functioning of the workplace.


Responsibilities

Front Desk Duties:

  • Greet and assist visitors, clients, and staff in a professional and courteous manner.
  • Manage all incoming emails, deliveries, and visitor logbooks.
  • Maintain a clean, organized, and welcoming reception area.
  • Ensure adherence to security protocols at the front desk.


Administrative Management:

  • Take ownership of office supplies inventory, support the procurement processes, and vendor relationships.
  • Ensure smooth functioning of office equipment and manage maintenance schedules. Conduct regular office hygiene and maintenance checks.
  • Coordinate travel bookings, meetings, and appointments for all the guests visiting the India office.
  • Compliance management with SEZ and office building management.
  • Handle logistical support, including concierge management, SEZ gate passes, and material movements.
  • Manage pantry operations, including inventory management, purchases, pantry staff supervision, and cleanliness.
  • Maintain stock register for all administrative items.
  • Assist with administrative audits like ISO audits and fire safety measures.
  • Coordinate with the finance team and vendors for payment of monthly rentals, CAM charges, utility bills, etc.
  • Supporting administrative tasks such as onboarding, event management, etc.
  • Maintain administrative records such as filing, printing, scanning, and documentation.
  • Supervise and ensure daily office cleaning, hygiene, and washroom cleanliness.
  • Own and manage the front desk activities.


Experience, Skills & Qualifications

  • Graduate degree from a recognized university.
  • Demonstrated experience in managing office administration functions.
  • Proficient in Microsoft Office Suite – Word, Excel, and Outlook.
  • Professional appearance with a confident and courteous demeanor.
  • Strong multitasking capabilities and ability to work effectively under pressure.
  • High attention to detail with strong problem-solving skills.
  • Approachable and friendly personality, fostering a positive work environment.
  • Excellent written and verbal communication skills.
  • Strong organizational and time management skills.
